About The Role
About the team you are joining We are looking for a high-Caliber Administration Manager to lead the RVP Office. Serving as a core collaborative role, this position oversees end-to-end complex administrative operations, ensures the regulatory compliance in corporate registration and filing, and manages local stakeholder engagement. The incumbent will provide direct professional support to the Regional Vice President, while maintaining robust relationships with local partners and stakeholders in the regional dynamic and fast-growing aviation market. What your day would be like Support Stakeholder Engagement Act as the core administrative coordinator and key liaison to the Regional Vice President, orchestrating the communications and engagements with member airlines, industry partners and core regulatory authorities. Develop thorough briefing materials, meeting agendas and maintain local stakeholder connections to back the RVP’s strategic priorities, including industry digital transformation and regional operational planning. Align cross-functional internal teams to unify external communication standards and guarantee consistent delivery of agreed business outputs. NGO Compliance Regulatory Affairs Act as the primary liaison with the competent regulators for the purpose of corporate registration and filing, such as Civil Aviation Authorities (CAAs) and the Overseas NGO Administration Office. Prevent severe legal consequences of non-compliance, manage the submission of the Next Year's Annual Activity Plan for approval, and ensure any activity changes (time, place, or partner) receive prior approval. Submit monthly and annual reports requested to the competent authorities/offices in due course. Responsible for other ad-hoc NGO related matters. Corporate Secretarial General Administration Lead the general administration of the company office, ensuring seamless daily operations and cross-departmental coordination. Oversee the proactive annual renewals of non-tax business registrations for IATA Beijing Representative Office and its subsidiaries in the region, and all country offices under North Asia. Coordinate ad-hoc registration changes (such as PoA updates, General Manager changes, and board member changes) with local authorities. Liaise and coordinate with the Corporate Secretary in Geneva (GVA) and local Country Managers to support regional registration and filing work. Local Relationships Support local government priorities by maintaining strong, collaborative relationships and regularly sharing relevant aviation industry information. Actively pursue and manage the appropriate government support, alongside identifying and securing any other potential government incentive support.
