Role Overview
We’re looking for a highly organised and proactive Office Coordinator to support the smooth day-to-day running of our two office buildings at Thorpe Park, Leeds.
Working closely with the Operations and Sales teams, you'll be the first point of contact for visitors and play a key role in creating a welcoming, professional and well-organised office environment. The role combines reception, administration, office coordination and facilities support.
Key Responsibilities
Reception & Front of House
- Welcome visitors, clients and contractors and manage sign-in procedures.
- Handle incoming calls, emails, post and deliveries.
- Coordinate meeting room bookings and prepare rooms when required.
Office Coordination
- Act as the main point of contact for office-related queries and requests.
- Support the day-to-day running of both office buildings.
- Assist with new starter onboarding, including desk setups and office orientation.
- Support meetings, events and internal communications where needed.
Supplies & Site Support
- Manage stationery and office supplies, ensuring stock levels are maintained.
- Liaise with suppliers, service providers and contractors.
- Coordinate deliveries, collections and equipment between buildings.
- Report and follow up on maintenance issues and help keep communal areas safe and presentable.
Health & Safety
- Follow site health and safety procedures and support emergency processes where required.
- Help ensure office and reception areas meet appropriate safety and security standards.
We're looking for someone who is reliable, proactive and adaptable, with great attention to detail and a genuine customer-focused approach.
Skills & Experience
- Previous experience in an office coordination, reception, administrative or facilities role.
- Excellent organisational and multitasking skills.
- Strong communication skills and a friendly, professional approach.
- Ability to work independently and manage competing priorities.
- Good working knowledge of Microsoft Office, including Outlook, Word and Excel.
- Experience coordinating suppliers, deliveries or office logistics is desirable.
