Position Overview

Crossroads Talent Solutions is seeking a detail-oriented

Case Coordinator

to provide administrative and clerical medical-readiness support to the Ohio Army National Guard. Working in support of the medical case management program, the Case Coordinator will assist with documentation, appointment tracking, case updates, records coordination, reporting, and communication necessary to keep Soldier medical-readiness cases accurate and moving forward.

Key Responsibilities

  • Provide clerical and administrative support for Service Member medical-readiness cases.
  • Enter, update, maintain, and review case information within authorized Government medical-readiness systems.
  • Assist with organizing and processing medical and dental documentation associated with assigned cases.
  • Support the preparation, processing, maintenance, and tracking of Release of Information requests.
  • Maintain tracking logs and follow up on outstanding records, documentation, and administrative case requirements.
  • Track scheduled medical appointments and update appropriate case-management records.
  • Assist with preparation of case status information for scheduled case reviews.
  • Maintain administrative records related to outstanding medical and dental requirements.
  • Provide compliance-tracking updates and administrative information to designated Battalion, Brigade, and State Surgeon’s Office personnel as directed.
  • Support communication and follow-up with Soldiers, military units, Medical Readiness NCOs, State Surgeon’s Office personnel, and other authorized parties.
  • Assist with the processing and routing of medical and dental documentation to the appropriate designated authority.
  • Support Soldier Readiness Processing events by assisting with documentation intake and administrative processing.
  • When assigned to MEB support, assist with organizing and compiling required documentation associated with Medical Evaluation Board case processing.
  • Maintain accurate electronic and administrative files while protecting medical information, PII, and other sensitive Government information.
  • Perform duties in accordance with applicable Army, DoD, HIPAA, privacy, security, and information-management requirements.
  • These duties reflect the PWS's required outcomes for appointment tracking, compliance reporting, case processing, metrics, and follow-up communications.

  • Strong administrative, data-entry, recordkeeping, and organizational skills.
  • High level of accuracy and attention to detail.
  • Ability to prioritize multiple cases, follow-up actions, and administrative deadlines.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Word, Excel, Outlook, and related Microsoft 365 applications.
  • Ability to work with electronic databases and learn Government medical-readiness systems.
  • Ability to communicate professionally with Service Members, military personnel, civilian providers, and Government staff.
  • Ability to maintain confidentiality and appropriately safeguard medical information and PII.

Security and Training Requirements

Personnel must meet applicable installation, CAC, background-investigation, Government system-access, and mandatory training requirements associated with their assigned duties. The PWS requires protection of PII and establishes HIPAA, Privacy Act, information assurance, OPSEC, CUI, and medical-readiness system training requirements.
