About the Role
As an Executive Assistant, you will play a pivotal role in supporting Business Services Partners and the wider team. You will be responsible for delivering high-quality administrative support, coordinating client engagement activities, and helping drive efficient business operations.
Working closely with colleagues across the firm, you'll have the opportunity to contribute to process improvements, leverage new technologies, and become a trusted member of a collaborative support network.
Key responsibilities include
- Build and maintain strong client relationships while supporting Partners with their client engagements
- Provide proactive administrative support to the Business Services team to ensure smooth day-to-day operations
- Coordinate client onboarding activities and assist with compliance processes in line with the firm's risk framework
- Assist with workflow management and coordination of support resources across the team
- Manage and maintain information across key systems, including Workday, Xero and Virtual Cabinet
- Prepare client correspondence, reports, presentations, agendas, meeting minutes and other business documentation
- Support billing, expense management and other partner administration requirements
- Assist with diary management, inbox coordination and scheduling activities
- Organise meetings, training sessions, events, travel and accommodation arrangements
- Coordinate logistics and preparation for industry conferences and networking events
- Champion the use of technology and support continuous improvement initiatives across the team
- Provide general administrative assistance as required
What you’ll need to succeed
- Previous experience in an Executive Assistant, Team Assistant, Administration or similar support role
- Experience within a professional services environment will be highly regarded
- Strong technology skills with the confidence to learn and embrace new systems and tools
- Exceptional organisational and time management skills, with the ability to manage competing priorities
- Strong written and verbal communication skills
- A proactive and solutions-focused mindset
- The ability to work independently while contributing positively to a team environment
- Excellent attention to detail and commitment to delivering high-quality work
- A strong sense of initiative and the confidence to seek guidance when required
