- We are looking for a detail-oriented and organized
Document Controller
to support our project and engineering teams by ensuring the accurate control, tracking, filing, distribution, and retrieval of project documentation.
Position Overview
The Document Controller will be responsible for maintaining an efficient document management system for project-related technical and administrative documents. The role involves coordinating with project managers, engineers, consultants, contractors, and clients to ensure documents are properly reviewed, approved, distributed, and archived in accordance with project requirements and company procedures.
Key Responsibilities
- Manage and maintain project documentation, including technical, engineering, commercial, and administrative documents.
- Receive, register, classify, distribute, and track incoming and outgoing documents.
- Maintain accurate document registers, logs, transmittals, and revision records.
- Ensure all documents are properly numbered, named, formatted, and filed according to company and project procedures.
- Control document revisions and ensure the latest approved versions are available to relevant project teams.
- Coordinate the submission and retrieval of documents between CSI, clients, consultants, contractors, and other stakeholders.
- Prepare and issue document transmittals for drawings, reports, technical submissions, method statements, inspection documents, and other project deliverables.
- Track document review and approval status and follow up on pending submissions.
- Maintain electronic and hard-copy filing systems and ensure documents are easily accessible when required.
- Support project teams in preparing documentation for inspections, testing, commissioning, and project handover.
- Maintain records of RFIs, submittals, technical reports, drawings, approvals, correspondence, meeting minutes, and other project records.
- Ensure obsolete or superseded documents are appropriately identified and archived.
- Assist in preparing project documentation for final handover and close-out.
- Ensure document control activities comply with CSI procedures, client requirements, and project-specific document control standards.
- Coordinate with project teams to identify missing, incomplete, or overdue documentation.
- Generate periodic document control reports and provide updates to project management.
- Maintain confidentiality and integrity of sensitive project information.
- Perform other document control and administrative duties as assigned by management.
Required Qualifications
- Diploma or Bachelor’s degree in
- Business Administration, Information Management, Engineering, or a related field
- .
- 3+ years of experience
- as a Document Controller, preferably within
- MEP, construction, engineering, testing & commissioning, or infrastructure projects
- .
- Good understanding of document control processes and project documentation.
- Experience working with document registers, transmittals, revision control, and document tracking systems.
- Strong proficiency in
- Microsoft Office, particularly Excel and Word
- .
- Experience with document management systems or platforms such as
- SharePoint, Aconex, Autodesk Construction Cloud, Procore, or similar systems
- is an advantage.
- Good written and verbal communication skills in English.
- Strong attention to detail and excellent organizational skills.
- Ability to manage multiple documents, priorities, and deadlines in a fast-paced project environment.
Preferred Skills
Knowledge of
- MEP and Testing & Commissioning documentation

- Familiarity with engineering drawings, technical reports, inspection records, and commissioning documentation.
- Experience working with consultants, contractors, and clients.
- Strong follow-up and coordination skills.
- Ability to work independently and as part of a multidisciplinary project team.
