About The Role
DescriptionOverall Responsibility
The Strategic Partnerships Coordinator provides administrative and operational support to the Strategic Partnerships department, helping ensure the efficient coordination of partnership development activities, CRM administration, reporting, executive scheduling, and cross-functional communication.
The role supports the partnership lifecycle by maintaining accurate records, coordinating meetings and events, preparing proposals and presentations, managing documentation, and assisting with departmental reporting and operational processes. Working closely with the Senior Manager, Strategic Partnerships Operations and department leadership, the Coordinator helps maintain an organized, responsive, and efficient operating environment that enables the Strategic Partnerships team to effectively identify, develop, secure, and transition new partnership opportunities.
Key Responsibilities and Duties
Administrative & Operational Support
Provide administrative support to the Strategic Partnerships department by coordinating calendars, scheduling meetings, preparing correspondence, and maintaining departmental files and documentation.
Coordinate internal and external meetings, conference calls, partner visits, travel arrangements, and department events while ensuring timely preparation of agendas, materials, and follow-up documentation.
Assist with purchasing, expense reporting, invoice processing, and other departmental administrative activities.
CRM Administration & Data Management
- Maintain accurate and up-to-date prospect, partner, and activity records in Zoho CRM, ensuring completeness, consistency, and data integrity.
- Assist with entering prospect information, updating opportunity records, tracking activities, and maintaining pipeline documentation.
- Generate routine CRM reports, dashboards, and activity summaries to support operational and leadership reporting.
Proposal, Presentation & Documentation Support
Coordinate the preparation, formatting, proofreading, and distribution of partnership proposals, presentations, briefing materials, reports, agreements, and other departmental documents.
Maintain proposal templates, presentation libraries, partnership documentation, and departmental reference materials.
Assist with compiling information, gathering supporting documentation, and coordinating approvals required for partnership initiatives.
Department Coordination & Communication
Facilitate communication among Strategic Partnerships, International Programs, Marketing & Communications, Finance, Legal, Compliance, and other departments to support partnership development activities.
Track assignments, deadlines, follow-up activities, and departmental action items to ensure timely completion of operational priorities.
Coordinate logistics for executive meetings, partner visits, conferences, and special events.
Reporting & Operational Support
- Assist with preparing departmental reports, meeting agendas, performance dashboards, and operational summaries.
- Support maintenance of standard operating procedures, departmental templates, workflow documentation, and operational records.
- Monitor shared departmental inboxes, communication channels, and administrative requests while ensuring timely responses and follow-up.
Continuous Improvement & Team Support
- Identify opportunities to improve administrative processes, document management, CRM practices, and operational efficiency.
- Support special projects, departmental initiatives, and strategic events as assigned.
- Perform other related duties that contribute to the efficient operation of the Strategic Partnerships department.
QualificationsEducation
Associate's degree required; Bachelor's degree in Business Administration, Communications, Marketing, Nonprofit Management, or a related field preferred.
Experience
- Minimum of three (3) years of progressively responsible administrative, project coordination, operations support, executive support, or nonprofit experience.
- Experience supporting multiple professionals in a fast-paced environment.
- Experience maintaining CRM systems, preferably Zoho.
- Strong proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and Teams.
- Experience supporting proposal preparation, meeting coordination, and reporting preferred.
Skills and Competencies
- Excellent organizational and administrative skills, with the ability to coordinate multiple priorities while maintaining exceptional attention to detail.
- Strong written and verbal communication skills, with the ability to prepare professional correspondence, reports, presentations, and meeting materials.
- Demonstrated proficiency in CRM administration, data management, document preparation, and Microsoft Office applications.
- Strong project coordination and time management skills, with the ability to meet deadlines and effectively support multiple team members.
- High degree of professionalism, discretion, customer service orientation, and ability to maintain confidential information.
- Bilingual English and Spanish required.
