We're looking for an AP & Payroll Administrator to join our Finance team in the Philippines. In this role, you'll support the accurate and timely delivery of Accounts Payable, Payroll Administration, and local statutory compliance activities while ensuring strong financial controls and an excellent experience for both employees and suppliers.
You'll partner closely with Finance, People & Culture, Tax, Treasury, and external service providers to ensure payments, payroll processes, and regulatory obligations are completed accurately and efficiently. About the Role
As an AP & Payroll Administrator, you'll play a key role in supporting EROAD's financial operations across supplier payments, payroll administration, tax compliance, and financial controls.
This role requires strong attention to detail, excellent organisational skills, and the ability to manage multiple priorities while maintaining accuracy. You'll have the opportunity to contribute to process improvements, support finance system enhancements, and work collaboratively with a wide range of stakeholders across the business.
As an AP & Payroll Administrator, you will be responsible for
Accounts Payable Administration
- Review, validate, and process supplier invoices, credit notes, reimbursements, and other payable transactions.
- Ensure appropriate approvals, coding, and supporting documentation are in place before processing.
- Reconcile supplier statements and investigate payment discrepancies.
- Monitor outstanding items and follow up on missing approvals, documentation, or purchase order information.
- Prepare payment information and support payment processing activities.
- Assist with AP month-end close activities, reconciliations, and reporting.
Payroll Administration
- Coordinate and verify payroll inputs including new starters, leavers, salary changes, allowances, deductions, and leave records.
- Support payroll processing in accordance with approved payroll calendars and controls.
- Perform payroll checks and reconciliations to ensure payroll accuracy.
- Maintain confidential payroll records and supporting documentation.
- Respond to payroll queries and coordinate required corrections with stakeholders.
- Support payroll accounting, reconciliations, and employee benefit administration.
Tax & Regulatory Compliance
- Support local tax and statutory compliance requirements for payroll and Accounts Payable.
- Prepare information and supporting documents for regulatory submissions and remittances.
- Maintain accurate records for tax, statutory, and payroll-related obligations.
- Assist with internal and external audits and compliance reviews.
- Ensure all required documentation is retained and readily accessible.
Controls & Operational Excellence
- Follow documented policies, financial controls, delegated authorities, and approval processes.
- Maintain accurate records and audit-ready documentation.
- Identify and escalate unusual, duplicate, unsupported, or potentially fraudulent transactions.
- Support month-end, audit, and compliance activities as required.
- Ensure data accuracy and confidentiality across financial and employee information.
Continuous Improvement & Team Support
- Identify opportunities to improve efficiency, accuracy, and automation across AP and payroll processes.
- Support finance system enhancements, workflow improvements, and testing activities.
- Contribute to process documentation, standard operating procedures, and training materials.
- Collaborate with Finance colleagues to strengthen team capability and operational resilience.
Skills and Experience
We're looking for someone who combines strong financial administration capability with a proactive and service-oriented approach. You'll bring:
- Experience in Accounts Payable and Payroll Administration, ideally within a Philippines operating environment.
- Strong understanding of AP, payroll, reconciliation, and general ledger processes.
- Experience supporting local tax, statutory, and regulatory compliance activities.
- High attention to detail and commitment to accuracy.
- Experience using finance, payroll, banking, and workflow systems.
- Intermediate Microsoft Excel, Word, and Outlook skills.
- Strong organisational and time management skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple deadlines and competing priorities.
- A proactive, solution-focused mindset with a continuous improvement mentality.
