About The Role
The Opportunity
With a mission to provide services designed to maintain and enhance the quality of life, well-being, independence, and involvement in the community of older adults, the Administrative Specialist provides flexible administrative and operational support to multiple departments throughout the organization. This position assists with a variety of administrative functions based on organizational needs and priorities and may be assigned to provide temporary or ongoing support to different departments. This is a full time 40 hour per week position working out of our Covington, LA., home office.
The Organization
Centered in Covington, LA., The Council on Aging, is the lead agency providing outreach and community involvement to St. Tammany Parish residents aged 60 and older. Eight Activity Centers throughout the parish provide exercise programs, competitive games, educational presentations and hot lunches. Though our partnership with the St. Tammany Parish Government, COAST operates the STAR Transit system, which provides demand response transportation to medical appointments, grocery stores and Activity Centers.
Responsibilities may include Home Delivered Meals (HDM) transportation dispatch and coordination, conducting client assessments, switchboard/telephone coverage, filing and record maintenance, data entry, document preparation, and other general administrative duties. The position requires a high level of organization, adaptability, professionalism, confidentiality, and the ability to effectively manage changing priorities.
Requirements
Required Qualifications
- High school diploma or equivalent.
- Excellent computer skills and proficiency with Microsoft Office or comparable office software.
- Computer proficiency and the ability to learn new software and systems quickly.
- Strong verbal and written communication skills.
- Strong organizational and time-management skills.
- Ability to accurately enter and maintain information.
- Ability to handle multiple tasks and prioritize assignments effectively.
- Ability to work independently while also functioning effectively as part of a team.
- Ability to adapt to changing priorities and provide administrative support across multiple departments.
Dependable vehicle, valid LA driver's license and insurance required.
Preferred Qualifications
- Previous administrative or office support experience.
- Experience working in a human services, healthcare, transportation, nonprofit, or community-service environment.
- Previous experience with dispatching, scheduling, switchboard operations, or transportation coordination.
- Experience conducting client assessments or completing assessment-related documentation.
Knowledgeable and sensitive to the needs of the elderly.
Knowledge, Skills, and Abilities
- Proficiency in Microsoft Office Suites and basic database management.
- Excellent interpersonal and communication skills; oral and written.
- Ability to exercise sound judgment, maintain confidentiality, and work independently.
- Strong organizational and time management skills.
- Ability to establish and maintain effective working relationships with staff, clients, volunteers, and community.
