We're looking for talented, driven individuals who want to grow with us.Position SummaryIn this role, you will help ensure smooth functioning of legal operations by managing administrative tasks, supporting compliance initiatives, and facilitating timely regulatory filings. You will also play a key role in maintaining clear and professional communication with internal teams and external partners. The ideal candidate is highly organized, proactive, and professional, with the ability to thrive in a fast-paced, deadline-driven environment.This position is in Frankfort, KY and is onsite five days a week.Job Responsibilities:Administrative & Calendar ManagementMaintain and manage the General Counsel’s calendar, including meetings, deadlines, court dates, renewals, and regulatory filingsCoordinate internal and external meetings; prepare agendas and meeting materialsOrganize travel logistics, expense reporting, and related administrative tasksMonitor and triage email inboxes, prioritizing urgent legal communicationsCorrespondence & CommunicationDraft and distribute routine correspondence (letters, memos, status updates)Manage incoming and outgoing physical mail, including certified mail handling and scanning/indexingServe as a point of contact for regulators, outside counsel, and vendors, as appropriateDocument & Contract ManagementMaintain digital and physical filing systems for contracts, corporate records, and compliance documentsTrack contracts, amendments, expiration/renewal dates, and required approvalsAssist with preparing board packets, resolutions, and agendasMaintain templates, precedent forms, and checklists for the legal teamRegulatory & Compliance SupportCalendar and track state filing deadlines (insurance department filings, annual reports, product approvals)Assist in compiling documents for state insurance department audits or examinationsMaintain compliance logs and regulatory recordsConduct first-pass legal and regulatory research as neededLitigation & Subpoena SupportReceive, log, and track subpoenas; calendar response deadlinesDraft acknowledgment letters and coordinate records collection with business unitsMaintain case files, litigation hold logs, and subpoena trackingOperational & Workflow SupportLog and track complaints, disputes, and inquiries in tracking softwareMonitor progress of legal/compliance projects and assignments to business unitsMaintain trackers for open legal and compliance mattersComplaint & Issue HandlingIntake, summarize, and draft preliminary responses to consumer complaints or agent disputesMaintain complaint resolution database and prepare reports on trendsResearch & DraftingPrepare memos on straightforward legal/regulatory issuesSummarize new bulletins and regulatory updates from state insurance departmentsDraft comparison charts for multi-state regulatory requirementsCross-Departmental CoordinationLiaise between the Legal Department and business units (claims, compliance, underwriting, operations)Communicate legal and compliance requirements in plain language to non-legal staffTrack implementation of new policies, procedures, or regulatory requirementsAssist with background checks and licensing reviews for agentsProject & Process SupportManage checklists and trackers for audits, exams, and compliance reviewsSupport updates to policy forms, procedures, and training materialsAssist with special projects assigned by the General CounselRequired Skills & Abilities:Bachelor’s degree or Paralegal Certificate required2–5 years of experience as a paralegal or legal assistant, preferably in insurance, compliance, or financial servicesStrong knowledge of legal processes, compliance, and regulatory requirementsExcellent organizational and time management skills with the ability to manage multiple deadlinesStrong written and verbal communication skills; ability to draft clear, professional correspondenceProficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with legal/compliance tracking software preferredAbility to work independently, handle sensitive information with discretion, and collaborate across departmentsInvestors Heritage is an equal opportunity employer.
