About The Role
DescriptionWe are an established real estate law firm with offices across California. Our San Diego office is looking for a HR Facilities Coordinator to join our growing team. If chosen as the successful candidate, you will serve as the central point of contact for a broad range of workplace needs, including maintenance and repairs, conference room coordination, and general office upkeep. The HR Facilities Coordinator works collaboratively across firm departments and with building management to ensure seamless day-to-day operations while helping maintain compliance with health, safety, and building standards.

Compensation: $22-$28 p/hour
Responsibilities
Responsible for the general oversight of office furniture and fixtures, including relocation and disposal, placing new orders, coordinating deliveries, and performing basic assembly and installation (chairs, keyboard trays, etc.)
Perform basic hands-on repairs, maintenance, and upkeep tasks including hanging pictures, minor fixture repairs, and other general maintenance needs to keep the office safe, functional, and presentable
Act as the point of contact for facilities-related requests and inquiries, including submitting facilities requests to building management on behalf of employees
Prepare workspaces for new hires, communicating with the HR and IT departments to determine placement and ensure that necessary equipment and supplies are provided
Serve as backup to IT to set computer hardware (monitor, keyboard, mouse)
Schedule and oversee vendors, contractors and service providers (fridge/freezer repair, water filter replacement, glass tinting, etc.), including participation in vendor meetings and project planning discussions
Conduct regular facility inspections and report maintenance or safety concerns
Coordinate access badges, keys and other building access needs
Coordinate with firm departments on office supply needs, manage inventory levels, process supply orders, and maintain accurate records of purchases and inventory using spreadsheets or other tracking tools
Handle and maintain the Firm’s Desk 365 portal to track all facilities requests
Track and reconcile facilities-related purchases and assist with vendor invoicing
Maintain kitchen and break room areas, including stocking supplies, coordinating appliance maintenance, and ensuring cleanliness
Coordinate setup and breakdown of conference rooms for meetings and firm events, including furniture, AV, and supplies
Other clerical HR duties as needed
Qualifications
We are looking for candidates with the following qualifications
High school diploma or equivalent
Minimum 1 year of general office experience requiring strong attention to detail and/or customer service experience
Strong verbal and written communication skills, with the ability to interact professionally with all levels of the organization, including attorneys, staff, and firm leadership, as well as external vendors and contractors
Ability to represent the firm professionally in vendor meetings, project planning discussions, and day-to-day interactions
Experience with hardware tools/power tools (i.e. electronic power drills)
Hands-on aptitude with the ability to perform basic repairs, assembly, and general maintenance tasks independently
High level of accuracy and attention to detail
Ability to prioritize and multi-task in a high-volume environment
Excellent customer service skills
Strong time management skills
Must be able to lift equipment and furniture of up to 50 pounds
Must be able to set up basic computer equipment/work desk station
The following qualifications are preferred
Previous experience in a facilities-related position
Schedule
Position is full-time at 40 hours/week. Our business hours are 8:30am-5:30pm Monday-Thursday, 8:30am-5:00pm Friday.
The primary responsibilities of this position require that the work be performed at the office full-time. We are not considering remote candidates at this time.
