About The Role
Line of Service Internal Firm Services Industry/Sector Not Applicable Specialism IFS - Human Capital (HC) Management Level Intern/Trainee Job Description & Summary The Associate, HR Operations is responsible for coordinating HR-related events and managing procurement activities that support Talent Acquisition, Talent Development, Employee Engagement, Campus Recruitment and other HR programmes. The role ensures events are delivered smoothly, procurement processes comply with company policies, and vendors provide quality services within agreed budgets and timelines. Key Responsibilities Event Management Coordinate end-to-end logistics for HR events, including: Recruitment events Career fairs Assessment centres Learning programmes Employee engagement activities Scholarship and talent development events Prepare event timelines, checklists and project plans. Liaise with internal stakeholders to understand event requirements. Coordinate venue bookings, catering, transportation, accommodation and event materials. Support onsite event execution and troubleshoot operational issues. Track event budgets and expenses. Collect feedback and prepare post-event reports and recommendations. Procurement & Vendor Management Manage procurement activities in accordance with company policies and approval requirements. Prepare purchase requisitions, purchase orders and supporting documentation. Obtain quotations and coordinate vendor selection processes where required. Monitor contract renewals, service agreements and vendor performance. Maintain relationships with external suppliers, event organisers, training providers and recruitment agencies. Track procurement budgets and expenditures. Ensure timely payment processing and resolution of invoice-related issues. Maintain accurate procurement records and documentation. Operations & Administration Maintain operational trackers, reporting dashboards and records. Support budget planning and monitoring for HR initiatives. Ensure compliance with internal governance, procurement and financial controls. Coordinate with Finance, Facilities, IT and other support functions as required. Identify opportunities to improve processes, reduce costs and enhance service delivery. Provide administrative support for HR projects and initiatives. Minimum years experience required Degree Experience coordinating multiple projects simultaneously is an advantage. Experience working with vendors and managing budgets is preferred. Strong organisational and project coordination skills. Excellent attention to detail and follow-through. Strong communication and stakeholder management skills. Ability to manage multiple priorities and work under tight timelines. Proficiency in Microsoft Excel, PowerPoint and Word. Budget tracking and financial administration skills. Problem-solving and vendor management capabilities.
