Technology Ops Finance Administrator

Technology Operations Asset & Finance

Role Purpose

The Technology Ops Finance Administrator is responsible for managing, tracking and controlling technology-related costs across the estate. The role ensures accurate cost allocation, drives efficiency and savings, and acts as the key link between Technology, Finance and supplier stakeholders to maintain financial governance and control over technology spend.

Key Responsibilities

Cost Management & Financial Control

  • Manage and analyse budgets, costs and financial data across the technology and operational environment, using financial systems, spreadsheets and reporting/tracking tools (e.g. <Monday.com>).
  • Track and control operational and technology-related costs, identifying inefficiencies and taking corrective action (e.g. challenging unnecessary purchase requests and reallocating stock).
  • Monitor supplier costs and billing, identifying and investigating financial discrepancies or anomalies, and leading resolution with suppliers.
  • Organise, validate and make usable large or unstructured cost data sets where documentation is limited, cross-referencing against other data sources to confirm accuracy.

Quality, Governance & Cost Allocation

  • Review coding and billing strings to ensure costs are charged correctly to the appropriate cost centre.
  • Operate within agreed approval limits, applying attention to detail to ensure accuracy and reliability of financial data.
  • Establish and maintain checks and controls for correct cost allocation, including cross-referencing colleague and department data, and reconciling with Finance on a regular basis.
  • Maintain and use IT tools to verify active/closed site or store lists relevant to cost allocation.

Delivery & Continuous Improvement

  • Prioritise workload effectively across multiple tasks and deadlines, focusing on business-critical billing (e.g. Opex) to minimise risk of service disruption.
  • Design, build and improve financial tracking processes from scratch, ensuring they are effective, sustainable and consistently applied (e.g. consolidating multiple tracking boards into a single dashboard).
  • Support the ongoing development of governance processes such as PO clinics, driving consistency and pace.

Stakeholder Engagement & Communication

  • Engage and challenge stakeholders and suppliers on cost ownership, incorrect invoicing or billing issues, and follow through to resolution.
  • Communicate new processes, structural changes and financial updates clearly to senior leadership, tailoring messaging and level of detail to the audience.
  • Build effective working relationships with Finance, technical teams and suppliers to ensure clarity and alignment on costs.

Skills & Experience

  • Proven experience managing or analysing budgets, costs or financial data within an IT or operational environment.
  • Working knowledge of financial systems, spreadsheets and reporting/tracking tools.
  • Strong analytical skills with the ability to identify trends, discrepancies and inefficiencies in cost data.
  • Experience in investigating and resolving billing or invoicing disputes with suppliers.
  • Strong attention to detail and a methodical approach to data validation and cost allocation.
  • Ability to work autonomously, prioritise competing deadlines and manage multiple tasks simultaneously.
  • Experience designing or improving financial processes and tracking tools.
  • Confident communicator, able to engage and influence stakeholders at all levels, including senior leadership.
