About Clever Closings
Clever Closings is the title and escrow arm of Clever Real Estate. We close residential transactions across multiple states for home buyers, sellers, loan officers, and agents β handling title search and examination, title insurance, escrow, settlement, and disbursement under tight regulatory and underwriter requirements. Our work has to be fast, accurate, and audit-ready every single time.
Role Overview
Weβre seeking a detail-oriented, highly organized
Post-Closing Specialist
to join our growing team. This role will report to the Senior Director of Operations. In this role, youβll play a critical part in ensuring the accuracy, compliance, and timely handling of closing documentation after a transaction is completed. This position involves working with both internal team members and external partners to finalize file processing, submit recording documents, and issue final title policies.
Key Responsibilities
We expect all team members to leverage AI tools as a natural part of their daily workflow β using them to handle routine tasks efficiently so you can spend more of your energy on the work that actually matters: collaborating, problem-solving, and driving strategy.
Conduct a thorough post-closing audit of completed loan files to ensure accuracy, completeness, and compliance with recording requirements
Submit documents for recording electronically or by mail to appropriate jurisdictions across the country
Validate recording and transfer/mortgage tax fees, ensuring correct payment amounts
Reconcile recording fees, process refunds for any overages, and ensure funds are properly disbursed
Monitor and track closed files and documents sent for recording, updating internal systems accordingly
Scan, organize, and index final documents into the loan/title operating systems
Review, log, and mail original trailing documents such as recorded instruments and final policies
Ensure final title policies are accurate, issued on time, and meet underwriter and client standards
Communicate with internal teams, lenders, and other transaction stakeholders to gather or clarify information necessary to complete post-closing tasks

Audit Accuracy
98%+ accuracy rate on post-closing document audits
Recording Submission Timeliness
All recording packages submitted within 48 hours of closing
Policy Turnaround Time
100% of final title policies issued within 10 business days of recording
Fee Accuracy
Less than 1% error rate in recording fee calculations and tax payments
File Update Speed
100% of closed files tracked and updated in the system within 24 hours
Trailing Document Handling
100% of trailing documents mailed within 2 business days of receipt

Skills / Qualifications
High School Diploma or Equivalent
Required; additional coursework or certifications in real estate, title, or business administration a plus
Professional Experience
3-5 years prior experience performing post-closing services in a multi state environment
Title/Escrow Software
Experience with Simplifile for electronic recording submissions is required; experience with Qualia title production software is strongly preferred
Customer Service Focus
Demonstrated ability to communicate clearly and professionally with clients, vendors, and team members
Attention to Detail
Strong ability to review and process documents with a high degree of accuracy and consistency
Effective Communication
Excellent verbal and written communication skills, especially when interacting with external parties and internal departments

Capable of identifying issues, researching solutions, and taking proactive steps to resolve discrepancies in documents or fees

Ability to prioritize, track multiple files simultaneously, and meet deadlines in a fast-paced environment
Tech Savvy
Comfortable using office technology and title/escrow software systems; ability to learn new platforms quickly
Ideal Experience
- 3-5 years prior experience performing post-closing services in a multi state environment
