About The Role
Position Title: Assistant Director for Residence Life Assignments & Business Services. Department: Residence Life. Classification: Exempt. FTE: 1.0. Work Schedule: Monday-Friday, 8:00 a.m. – 5:00 p.m.; some evening and weekend hours required for special events; travel up to 5% of work schedule, which includes local (Twin Cities metro area) and regional travel. Work Location: On Campus. Salary Range: $52,993 - $59,267. Essential Job Duties: Assignments. Implement a housing assignment policy that aligns with the College. Create and maintain a housing assignment process that is student centered and supports the requirement of a four-year residential college. Coordinate housing assignment process, room changes, consolidations and special groups. Audit the housing operations system. Assists with preparation and review of college room rates and related charges. Maintains accurate records of the housing occupancy reports . Coordinate all check-in check-out procedures such as Late Stays, Early Arrival, Break Housing and Study Abroad. Coordinate Summer Housing Operations to include Guest Stays, Groups Stays, Internship Host Program and Summer Residents. Business Services. Ensure proper billing including but not limited to room, board and damage charges. Processes student payment transmittals in a timely manner. Ensure all charges have been approved for damages charges and fees. Support with general department credit card expense reporting and ensure that the office overall expense report is submitted. Support with management of office budget. Information Technology. Must be able to gain the skills, maintain competency and teach others in one or more of the following operating systems: Microsoft Office, Peoplesoft, StarRez or other reporting applications to manage a residential program. Coordinate updates for all housing operations information on the residence life webpage. Serves as a liaison and support for the following systems: card access and student information systems. Supervision. Hire, train, supervise and conduct performance evaluations on student staff Serves as a point of contact for students, providing guidance and directing them to appropriate resources. Supervises main office student staff, monitors office procedures and practices, and coordinates workflow and work assignments. Operations and Crisis Management. Assists in planning and executing program-related events such as workshops, training sessions, orientation sessions, and resource fairs. Coordinate hall mid-year and end-of-the-year residence hall closing. Support and enforce college campus policies and the student conduct process. Reports & Assessments. Prepares and distributes analytical and /or statistical reports, letters and memoranda that pertain to Housing issues/concerns. Responsible for conducting Housing related studies and reviews. Aids In the development of the Department's Annual Budget, Annual Report Maintain the housing operations systems manual. Perform other duties as assigned. Support, respect and commit to embracing diverse backgrounds, values and points of view. Complete and meet deadlines for required training and performance management cycle. During peak periods or special programming hours of work may vary in regard to day of week or time period. Optional. *Resident/Building Oversight (only if seeking on-campus housing and a space is available). Oversee the day-to-day functions of a collective body of students within their residential experience. Serve in the campus on-call emergency rotation. Supervision Received and Exercised: Reports to the Associate Dean of Students for Residence Life This position supervises student workers. Required Qualifications: Education: Bachelor’s degree; maintain a valid driver’s license and meet St. Olaf College driver authorization with a satisfactory driving record. Experience: 3+ years of relevant experience; 1+ year operations, logistics, programming and/or event planning experience. Preferred Qualifications: Education: Master’s degree in student personnel or related field. Experience: 2+ years of residential live-in experience; 3 + years of operations, logistics, programming and/or event planning experience. Prerequisites: Employment in this position is conditioned upon successful completion of a background check which may include: criminal background checks, reference checks, verification of work history, verification of any required academic credentials, licenses, and/or certifications, a motor vehicle check, verification of DOT certification, a credit check, employment eligibility verification, and/or a pre-employment physical. Whether a background check is deemed successfully completed will be at the sole discretion of St. Olaf College.
