About The Role

Our client is a US multi-brand property services and insurance restoration company operating across nine distinct brands, with office teams and field crews spread across many states. They are hiring a Communications Coordinator to be the connective tissue between leadership, office staff and field crews: making sure the right message reaches the right people, in the right format, at the right time.
This is not a social media or marketing role. It is an internal and operational communications role. You will own the company intranet, write and send company-wide announcements for leadership, turn office decisions into short messages crews can act on from a phone, and run the communications calendar that keeps it all in order. The work follows US Eastern business hours.
The role takes a particular kind of trust: you will often be the last person to read a message before hundreds of employees do, and some of it will be sensitive. It suits a writer with a sharp editorial eye who plans ahead, keeps deadlines without being chased, and knows when a message needs approval before it goes out.

Key Responsibilities

SharePoint Intranet Management

  • Serve as the primary owner of the company intranet on SharePoint: maintain its structure, keep content current, and make sure employees can find what they need.
  • Build and update intranet pages with a focus on clarity, navigation and visual organization.
  • Coordinate with department heads so that everything posted is accurate and up to date, and retire or replace pages that are not.

Company-Wide Email Communications

  • Draft, format and send company-wide announcements on behalf of leadership.
  • Manage recurring communications, including policy updates, company news and operational notices.
  • Make sure every written communication is polished, in plain language, and pitched in the right tone for a diverse audience of executives, office staff and field crews.

Field Team Notifications

  • Send time-sensitive updates to field crews through a mobile field-communication platform such as Connecteam or Beekeeper.
  • Translate office-side decisions and operational changes into clear, mobile-friendly messages that field staff can act on.
  • Stay aware of what is happening across job sites and coordinate with project teams so every message is accurate.

Visual Formatting and Creative Support

  • Use Adobe Creative Cloud (InDesign, Illustrator and Photoshop) to format announcements, internal documents and communications materials to a professional standard.
  • Use AI tools such as Claude, ChatGPT and Microsoft Copilot to speed up drafting and improve consistency, and review everything they produce before it goes out.
  • Keep every visual and written communication consistent with company standards across all nine brands.

Communications Calendar

  • Build and run a communications calendar that plans recurring and one-time announcements in advance.
  • Coordinate the timing and sequencing of communications so messages do not overlap or confuse.
  • Spot upcoming events, deadlines and operational changes early, and plan the communication before anyone has to ask.

Requirements

  • Native or near-native English, written and spoken. This is non-negotiable.
  • 2+ years in an internal communications, marketing or content coordination role.
  • Demonstrated experience writing for a professional audience: announcements, policy communications, operational updates or similar.
  • A natural instinct for plain language: you can take complex or technical information and rewrite it so any employee understands it at a glance.
  • A strong editorial eye: you catch grammar errors, inconsistencies and formatting issues before anything goes out.
  • Tone sensitivity: you adapt your writing for executive leadership, office staff and field crews on a job site.
  • Familiarity with Adobe Creative Cloud, specifically InDesign, Illustrator and Photoshop.
  • Hands-on experience with AI productivity tools (Claude, ChatGPT, Microsoft Copilot or equivalent).
  • The organization to manage a communications calendar and meet recurring deadlines without being chased, across multiple brands and departments.
  • Discretion and professionalism with sensitive internal announcements, and the judgment to flag when a message needs review, approval or more context before it is sent.
  • Availability Monday to Friday during US Eastern business hours.
  • Reliable high-speed internet and a professional remote-work setup.

Preferred Qualifications

  • Experience managing a content calendar, intranet platform or internal knowledge base.
  • Experience using SharePoint for intranet or document management.
  • Exposure to field communication platforms such as Connecteam or Beekeeper.
