About The Role

Duties & Responsibilities: Full-time position
Administrative Support:

  • Coordinate/manage/ schedule meetings, conferences, appointments and events. Ensure logistics are organized effectively
  • Able to juggle competing priorities, constantly adapt to change and thrive in fast-paced, high-pressure environment
  • Prepare correspondence, reports, presentations, and meeting materials as requested
  • Screen and handle incoming calls, emails, and correspondence
  • Maintain accurate records, files, and documentation

Diary and Travel Management

  • Organize domestic and international travel arrangements and visas
  • Book flights, accommodation, transportation and itineraries
  • Prepare travel schedules and supporting documentation
  • Monitor travel expenses and process expense claims

Communication and Coordination

  • Act as the primary point of contact between the Executive and internal or external stakeholders
  • Liaise with partners and colleagues on behalf of the Executive
  • Follow up on action items and ensure deadlines are met
  • Coordinate and support special projects as required.

Office/Operational Support

  • Monitor office supplies and coordinate procurement when necessary
  • Assist with budget tracking and expense management (three budgets)
  • Support the implementation of administrative processes/procedures
  • Perform general administrative duties to support business operations

Education : post-secondary or bachelor's level preferred

  • Trustworthy and discreet
  • Ability to work independently and maintain confidentiality
  • Maintain strict confidentiality regarding company and personal matters. Handle sensitive and confidential information with the highest level of discretion
  • Ability to prioritize tasks and work under pressure
  • Excellent organizational and time-management skills, strong multi-tasking capability
  • Comfortable working in collaborative, flexible fast changing environment
  • Able to manage intrusive requests and people, ...
  • Proactive and self-motivated
  • High level of attention to detail and accuracy
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).

Work experience requirements :

  • Proven experience as a Personal Assistant, Executive Assistant, Administrative Assistant, or similar role.
  • Experience supporting senior Executives
  • Good knowledge of office management systems and administrative procedures

Languages :

  • English: General professional proficiency
  • Other languages would be a plus
