**Job Purpose**

The purpose of the Call Center Representative is to provide support and assistance in the call center of the University Clinic System to assure a smooth, efficient flow of patient calls and requests at all clinics. This role is crucial to maintaining the efficiency and effectiveness of our service delivery. This position collaborates with the Marketing Department on new patient leads. In this capacity, this position is familiar with and helps support the mission of the University, College of Chiropractic, and Clinics.

**Essential Job Functions**

  • Handles all incoming Life Chiropractic Centers telephone calls from patients, makes appointments, and answers general questions and inquiries.
  • Schedule all appointments, and communicate same day appointments, delays, or cancellations, and missed appointments to appropriate team.
  • Manage the appointment book to reflect all faculty PTO requests. Reschedule any appointments as necessary.
  • Responsible for accurately entering detailed patient information in electronic health records.
  • Follow up on new patient leads from our Marketing Department by converting them into actual patients of the clinic to begin care.
  • Oversee release of records requests.
  • Check insurance eligibility.
  • Explain all current fees and patient financial responsibility and informs patient of payment required for existing balances due at or before next appointment.
  • Schedules appointments to ensure efficient patient flow based on predetermined appointment availability.
  • Follow up with patients when appointments are missed.
  • Contacts existing patients to assess patient satisfaction.
  • Assess changes needed operationally according to the team and work together with teammates to present resolutions to the Clinic Office Manager.
  • Receives, directs, and relays telephone, fax, and email messages.
  • Responsible for report generation and analysis in support of departmental goals and objectives.
  • Responds to calls efficiently, while representing the highest quality of service.
  • Performs other general administrative tasks as directed by Clinic Office Manager.
  • Additional duties and responsibilities as assigned.

**Additional Duties And Responsibilities**

  • Assist with special projects and initiatives as needed.

## Qualifications
**Education, Training, and/or Experience**

  • A Bachelor’s Degree from an accredited institution of higher education in Business Administration, or similar; AND
  • Minimum of three (3) to five (5) years of professional experience in providing consultations and guidance to patients in a clinical environment, or similar.
  • Three (3) years’ demonstrated computer skills, including experience with Microsoft Office Suites.
  • Two (2) years’ experience working in a call center environment.
  • Excellent customer service skills are required.
  • Demonstrated ability to maintain focus, exhibit good judgement, take initiative, and work autonomously.
  • A combination of education and years of experience may be considered in lieu of the specified degree level requirement.

**Preferred Qualifications**

  • A Master’s Degree in Business Administration or related field.
  • Five (5) years’ experience in a clinical chiropractic setting.
  • Experience with electronic health records using NextGen software.

**Physical Demands**

  • Nature of work requires the ability to operate standard business office equipment.
  • Requires ability to communicate and exchange information, collects, compiles, compares, and prepares work documents, set-up and maintain work files.
  • Must be able to lift up to 25 lbs; retrieving and placing materials on high shelves and on floor-level shelves; standing, walking; carrying; grasping; hearing; seeing; sitting; kneeling; climbing; balancing; stooping; crouching and reaching.

**Working Conditions**

  • Work performed in a general office/clinic environment.
