Warehouse & Tool Management Executive

Job Summary

The Warehouse & Tool Management Executive is responsible for ensuring accurate material dispatch, delivery challan (DC) reconciliation, invoice verification, inventory tracking, and tool management across project sites. The role involves coordinating with warehouse, project, logistics, accounts, and site teams to maintain inventory accuracy, ensure timely dispatch and return of tools, and keep all records audit-ready.

Key Responsibilities

  1. Delivery Challan (DC) & Invoice Management
  • Generate, maintain, and track Delivery Challans (DCs) with unique identification numbers.
  • Verify dispatched materials against invoices for item description, quantity, and pricing.
  • Confirm material receipt from project sites and resolve any discrepancies.
  1. Material Reconciliation
  • Reconcile dispatched materials with site acknowledgements.
  • Investigate shortages, excess materials, or damages during transit.
  • Maintain complete documentation for audit and compliance purposes.
  1. Warehouse & Inventory Management
  • Maintain inventory records with unique IDs and location tracking.
  • Monitor stock movement and perform periodic inventory verification.
  • Ensure inventory accuracy through regular stock audits.
  1. Tool Management
  • Issue, receive, and track tools using proper documentation.
  • Maintain tool movement registers and usage history.
  • Coordinate preventive maintenance, calibration, and repairs.
  • Ensure timely return and accountability of issued tools.
  1. Coordination & Site Support
  • Coordinate with Warehouse, Projects, Logistics, Accounts, and Transport teams.
  • Arrange timely dispatch and retrieval of tools and materials.
  • Resolve material and tool-related issues raised by project sites.
  1. Reporting & Documentation
  • Prepare Daily, Weekly, and Monthly MIS reports.
  • Maintain digital and physical records for audits.
  • Ensure all warehouse, inventory, and tool records are up to date.

Skills Required

  • Knowledge of warehouse operations, logistics, and inventory management.
  • Understanding of Delivery Challans (DC), invoicing, and material reconciliation.
  • Familiarity with tool management and maintenance practices.
  • Proficiency in MS Excel and inventory/document management systems.
  • Strong coordination, communication, and organizational skills.
  • Ability to prepare MIS reports and maintain accurate records.
  • Knowledge of construction, EPC, or industrial project environments is preferred.

Qualification

Any Bachelor's Degree

(Commerce, Management, Engineering, or equivalent preferred).

Experience

  • 2–5 years
  • of experience in Warehouse, Inventory, Logistics, Tool Management, or Project Stores.

Experience in

Engineering, EPC, Industrial, Manufacturing, or Construction

sectors will be an added advantage.
