As a Senior Executive Assistant within Global Banking in the Commercial and Investment Bank, You must thrive in a fast-paced environment with frequent last-minute changes, manage complex stakeholders with professionalism, and consistently elevate the executive’s effectiveness through proactive planning and operational rigor.

Job responsibilities

  • Serve as the primary liaison for the executive, professionally screening and triaging inbound interactions (email, calls, meeting requests), and ensuring timely responses and follow-through.
  • Own the executive’s complex, multi-time-zone calendar—prioritizing client and senior stakeholder meetings, resolving conflicts, protect time and travel buffers; and optimizing schedule flow to maximize effectiveness.
  • Drive meeting excellence: confirm purpose, attendee list, proper coverage/delegation management, logistics, agendas. Help organize pre-reads in advance and post-meeting actions with team in partnership with stakeholders.
  • Coordinate end-to-end domestic and international travel (often complex and time-sensitive), including itineraries, visas/passports where applicable, ground transportation, and contingency planning.
  • Help with logistics for market visits, client events, and large-scale internal/offsite meetings, partnering with chief of staff / business management to ensure a high-touch experience.
  • Maintain key documents and workflows using firm-approved tools (e.g., Microsoft 365, Teams, Concur, Co-Pilot, LLM Suite, One Note and Boardroom as appropriate) to increase speed, quality, and consistency.
  • Support site and office-related needs tied to client and leadership engagements, ensuring superior client service standards.
  • Handle confidential information with strict discretion; maintain controls and comply with all policies and procedures.
  • Process T&E and related administrative items accurately and on time; serve as a knowledgeable point of contact for relevant policies and procedures.

Required qualifications, capabilities and skills

  • At least 5 years supporting senior executive leadership in a large, complex organization
  • Proven ability to manage highly complex calendars and travel under tight deadlines, ambiguity, and frequent change without loss of detail or professionalism.

Preferred qualifications, capabilities and skills

  • Experience supporting senior front office leaders in financial services strongly preferred.
