Location: Onsite – Chicago, IL headquarters

What this job involves

We are seeking an exceptional Executive Assistant to support our Human ResourceExecutiveLeaders at JLL's Chicago headquarters. This roledemands a high-performing professional who thrives in a fast-pacedenvironment while managinghighly confidential strategic matters. Your ability toanticipateneeds, exercise sound judgment, andmaintainabsolute discretionwill be essential to success in this role.

What your day-to-day will look like

-

Managing complex calendars for all leaders, proactivelyidentifyingconflictsand recommending solutions while coordinatingacross global time zones tooptimizetheir schedules.

-

Orchestrating travel arrangements, meetinglogistics, and event planning for board meetings, leadership meetings, ensuring seamless execution of all details from venueselectionto presentationmaterials.

-

Composing correspondence, preparing presentations, and creating polished documents for executivesignature,maintainingthe highest standards of accuracy and professionalism in allcommunications.

Serving as the primary point of contact and gatekeeper for the HR leaders, screening communications and redirecting inquiriesappropriately while providing exceptional stakeholder service across theHRorganization and community

Processing expense reports, wire transfers, invoices, and budget allocations with meticulous attention to detail whilemaintainingorganized executive files, documentation, and ensuring compliance with record-keeping requirements.

Managing sensitive and confidential information with absolute discretion,demonstratingprofessional tact in all interactions

Required Qualifications

-

Threeor more years of progressive administrative experience with a minimum of1yeardirectly supporting C-levelexecutives in large global organizations.

-

Proventrack recordof handling highly confidential and sensitive information with utmost professional discretion,particularly in public company environments where material non-public information requires careful management.

-

Advancedproficiencyin Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and Microsoft Teams, withdemonstratedability toleveragetechnology tools to enhance efficiency, create presentations, and manage complex data.

-

Exceptional organizational and time management capabilities with proven ability to manage multiple competing priorities.

-

Superior written and oral communication skills with the ability to compose professional correspondence, interact diplomaticallywith stakeholders at all levels, and represent executives with polish and credibility.

-

Demonstrated problem-solving abilities with a proactive mindset toanticipateexecutive needs before they arise,

-

Flexibility to work beyond standard business hours when necessary to support executive schedules.

Preferred Qualifications

Ability to quickly learn new systems, reporting platforms, and business processes when faced with changingregulatory requirements or technology implementations.

Strong interpersonal savvy with natural ability to build relationships with board membersand otherteams across diverse cultures and functional areas within a global matrix organization.

Self-starter mentality withtrack recordof independentlyinitiatingand completing projects whilemaintainingalignment withexecutive priorities, deadlines, and organizational goals.

Comfort with ambiguity and change,demonstratingadaptability in shifting priorities.

This position does not provide visa sponsorship. Candidates must be authorized to work in the United States without sponsorship.

Estimated compensation for this position

80,000.00 – 90,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
