Position Overview
We are currently seeking a dynamic, highly motivated, and experienced individual for the position of Payroll Specialist. The Payroll Specialist will assist the Payroll Administrator in managing and processing bi-weekly and off-cycle payroll for 1000+ employees for a workforce that is multi- state, multiple organizations. Ensures payroll is processed timely, accurately, and in compliance with all Federal & State and local tax laws, company policies and collective bargaining agreements. Lastly, this payroll superstar must have excellent customer service and communication skills, problem-solving abilities, be team oriented and be flexible to thrive in our fast-paced, growing environment.
Duties
Payroll Processing
- Utilize Paylocity’s payroll and time and labor systems to ensure timely and accurate processing of all payroll transactions including salaries, benefits, garnishments, taxes, and other deductions for multiple company profiles
- Maintain accurate payroll records related to garnishments, tax levies and bankruptcy cases
- Reconciles and transmits payment of union dues, union health & welfare, and union pension to corresponding union locals, as required
- Conducts Data & Retro analysis.
Compliance
- Ensure compliance with company policies and procedures, collective bargaining agreements, and contract requirements
- Apply working knowledge of IRS, DOL FLSA, SCA Compensation and fringe benefit programs to ensure adherence and compliance.
Quality Control/ Audits
- Review and validate payroll reports for accuracy, investigating and resolving any discrepancies
- Perform regular reviews/audits to confirm accurate employee records, including personal information, payroll codes, tax withholdings, direct deposit details, taxable benefits, and other relevant data.
Timekeeping systems
- Ensures all employees are assigned to the correct payroll policies
- Reviews, edits, and approves timesheets
- Assists with timeclock issues.
Customer Service
- Provides excellent customer service in working with managers / employees to proactively resolve potential pay, timekeeping issues and/ or timecard discrepancies
- Respond to employee inquiries regarding payroll issues and resolve discrepancies consistent with company policies and payroll regulations.
HR/ Administrative Duties
- Work closely with HR to assist in processing new hires, terminations, wage updates, and status changes.
- Completes all requested wage reports (VOE, Unemployment, Work Compensation wages etc.).

Requirements
Education & Experience
- 4+ years experience processing multi-state payroll
- Bachelor’s degree in Business or related field
- CPP certification a plus
- Experience processing bi-weekly payrolls with more than 1000 employees
- Experience working with Collective Bargaining Agreements
- Prior experience with Paylocity Web Pay, and Time and Labor desired.
Knowledge, Skills, and Abilities Requirements
- Knowledge of federal and state laws (IRS, DOL FLSA, SCA)
- Ability to maintain confidentiality and exercise extreme discretion
- Excellent problem-solving skills and high level of attention to detail and accuracy
- Must be proficient in Excel, with pivot tables, VLOOKUP's and spreadsheet creation
- Excellent organizational skills and attention to detail
- Strong written and verbal communication skills
- Ability to handle and prioritize multiple tasks and meet deadlines in a fast-paced environment
- Customer service oriented & Team player.
