General Description

The Human Resources Office Associate provides clerical support to the Chesterfield County Public Schools (CCPS) Department of Human Resources (HR), and assists with various recruitment and applicant processes. This position performs moderately complex work under immediate supervision and requires coordination with others as necessary. Frequent contacts are made both within and outside the organization.

Job Description

Essential Job Functions

  • Screens visitors, telephone calls, and the HR email domain, responding to general inquiries and problem-solving within established guidelines and procedures
  • Reroutes inquiries to others, as appropriate
  • Coordinates and serves as the point-of-contact for the online scheduling process for all recruiting events, including securing facility reservations, requesting specific arrangements (rooms, times, and available resources), and handling issue resolution concerns with the scheduling process
  • Assists job applicants with the online application process, as needed
  • Provides data entry support following job fairs, ensuring that all paper applications are properly entered into the division’s online platform
  • Assists HR staff with facilitating the in-person background check process, ensuring applicants are properly guided through the process
  • Provides general clerical assistance to HR staff, including word processing, copying, collation, filing, sorting, and distributing mail
  • Maintains records related to inquiries, event scheduling, and other related areas, as requested
  • Performs other related duties, as required

Budgetary Responsibility

This position has no budgetary responsibilities.

Report Preparation

Prepares a variety of reports related to assigned duties, as requested

Equipment Operation

Operates computer, copier, fax machine, scanner, telephone, and other general office equipment

Contacts

This position has regular contact with all levels of the organization as well as the general public in order to provide information.

Work Direction/Supervision

This position does not supervise or provide work direction to others.

Decision Making

Independent decision-making is used when concerns or questions arise that can be solved using the department’s established procedures. The supervisor’s approval is recommended with unusual or complex concerns and inquiries.

Work Environment

The employee regularly works in an office setting. The noise level is typically quiet to moderate.

Knowledge/Skills/Abilities

  • Working knowledge of typical office practices, procedures, and equipment
  • Demonstrated proficiency in standard English grammar, punctuation, basic computational arithmetic, and keyboarding
  • General knowledge of public education, the school division, and the community
  • Demonstrated ability to collect and assemble information; to interpret and follow oral and written instructions; to communicate effectively, both orally and in writing; and to build effective working relationships with all levels of the organization and the public
  • Demonstrated ability to perform multiple tasks in a fast-paced environment within established procedures and deadlines

Additional Job Requirements

Any equivalent combination of experience and training which would provide the required knowledge, skills, and abilities

Preferred: Bilingual in Spanish
