Position Summary

The position is responsible for the Service Spares Sales Order process, ensuring customer orders are accurately validated, processed, invoiced, and delivered within agreed timelines. The role provides administrative and operational support to internal and external customers, coordinates with cross-functional teams to ensure seamless order fulfillment, and maintains high standards of data accuracy, compliance, and customer service.

Job Responsibilities

  • Support customers throughout the pre-order process, including part number identification, pricing inquiries, and quotation.
  • Review booking forms and customer purchase orders to ensure accuracy, completeness, and compliance.
  • Process and book Sales Orders using Oracle and provide timely order acknowledgements to customers confirming order receipt, details, and delivery commitments.
  • Coordinate with Planners and Buyers to monitor stock availability and expedite material requirements when necessary.
  • Track and monitor the Back Order Status Report, update order schedules and past-due orders, process stock reservations as needed, and perform data maintenance activities to ensure accurate system records.
  • Coordinate order fulfillment activities with Shipping and Warehouse teams, including pick-and-pack processing and packing list requests.
  • Follow up on delayed deliveries, missing parts, and purchase order amendments to minimize order fulfillment disruptions.
  • Generate customer invoices and prepare shipment-related documentations.
  • Respond to customer inquiries and provide timely updates regarding order status, delivery schedules, and related concerns.
  • Maintain the order tracker by accurately recording and updating tasks, sales orders, and order-related activities, ensuring data accuracy, visibility, and timely follow-up.
  • Collaborate with cross-functional teams, including Technical, Quality, Credit & Finance, Planning, Purchasing, Shipping, Warehouse, and Sales, to resolve order-related issues, address customer requirements, and ensure seamless order execution.
  • Ensure compliance with company policies, procedures, and International Trade Compliance (ITC) regulations.
  • Perform data gathering and report generation activities by collecting, validating, and preparing customer-related data to support customer requirements and operational reporting needs.
  • Perform other duties and responsibilities as assigned by the immediate supervisor.

Qualifications

  • Bachelor's degree in any field.
  • 1 to 3 years of relevant experience in an administrative, order management, supply chain, customer service, or operations support role.
  • Experience using Oracle EBS or other ERP systems is an advantage.
  • Proficient in Microsoft Office applications, particularly Excel and Outlook.
  • Fluent in written and spoken English.
  • Strong organizational skills with a high level of attention to detail.
  • Excellent communication and customer service skills.
  • Ability to coordinate effectively with cross-functional teams, including Sales, Procurement, Shipping, Warehouse, and Planning.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Customer-focused with the ability to provide timely and accurate order updates and resolutions.
