About The Role
ATCO Frontec is seeking a proactive, detail-oriented, and customer-focused HR & Recruitment Coordinator to support both our Human Resources and Recruitment teams. This role is ideal for someone who thrives in a fast-paced environment, enjoys building relationships, and is passionate about delivering exceptional support throughout the employee lifecycle, from recruitment and onboarding through to employee transitions and HR administration.
The HR & Recruitment Coordinator plays a key role in ensuring a positive candidate and employee experience while supporting recruitment operations, onboarding, HR administration, reporting, and workforce mobilization activities.
Key Responsibilities
Recruitment Administration & Coordination
- Post and manage job requisitions across internal and external recruitment platforms.
- Sort and screen resumes to support recruiters and hiring managers.
- Coordinate and complete pre-employment requirements, including background checks, security clearances, drug and alcohol testing, references, and other site-specific requirements.
- Prepare and issue offer letters, promotional letters, transfer letters, and employment documentation.
- Track and follow up on outstanding onboarding and pre-employment documentation.
- Maintain and manage shared recruitment inboxes, responding to candidate and stakeholder inquiries or redirecting as appropriate.
- Support employee referral programs and track submissions and payouts.
- Assist with recruitment reporting, recruitment metrics, and ad hoc data requests.
Talent Attraction & Workforce Planning
- Support sourcing activities using LinkedIn Recruiter, Indeed, and other recruitment platforms.
- Assist in building and maintaining talent pipelines for current and future hiring needs.
- Participate in career fairs, hiring events, community engagement initiatives, and student recruitment activities.
- Support engagement with Indigenous partners, educational institutions, and community organizations.
Onboarding, Mobilization & Employee Experience
- Coordinate new hire onboarding and orientation activities.
- Ensure completion of all onboarding documentation, payroll forms, and benefit enrolments.
- Act as an HR ambassador by providing a welcoming and supportive onboarding experience.
- Support project mobilizations and demobilizations, ensuring workforce requirements are coordinated effectively.
- Liaise with operations, recruiters, hiring managers, and external vendors to facilitate employee readiness for site.
HR Operations & Employee Lifecycle Administration
- Process employee lifecycle transactions including promotions, transfers, temporary assignments, compensation changes, resignations, layoffs, and terminations.
- Support offboarding activities, including exit documentation, Record of Employment inquiries, and outplacement requests.
- Monitor employee data integrity and track temporary assignments, leaves, layoffs, and end dates to ensure appropriate follow-up actions are completed.
- Investigate and respond to Time & Attendance, Payroll, and HR-related inquiries in collaboration with the appropriate Centres of Excellence.
- Support leaders and HR Business Partners with administrative and operational HR requirements.
Systems, Reporting & Compliance
- Maintain accurate employee, candidate, and requisition information within Oracle HRIS and Applicant Tracking Systems.
- Generate recruitment, onboarding, retention, and workforce reports.
- Support site-specific reporting requirements and ad hoc requests.
- Assist with maintaining workforce data accuracy, position management, and organizational information within HR systems.
- Partner with Finance and other stakeholders to support position creation, job level updates, and expense coding changes.
Stakeholder Support & Employee Relations
- Build strong partnerships with Recruiters, HR Business Partners, Hiring Managers, and operational leaders.
- Provide exceptional customer service to candidates, employees, and stakeholders.
- Assist with employee relations investigations and administrative follow-up as directed.
- Escalate employee concerns appropriately and support the resolution process.
Qualifications & Experience
- 2-3 years of progressive experience in recruitment coordination, HR coordination, or a related HR support role.
- Post-secondary education in Human Resources, Business Administration, or a related discipline. An equivalent combination of education and experience will be considered.
- Experience using Oracle HRIS, Applicant Tracking Systems (ATS), and recruitment sourcing tools.
- Experience supporting onboarding, recruitment administration, employee lifecycle transactions, and reporting.
- Experience engaging with Indigenous partners and communities is considered an asset.
