Job Title: Stock Control Administrator
Location: Duxford, Cambridgeshire (Office Based)
Contract: Full-time, Permanent
Are you an organised and detail-oriented administrator with experience in stock control, inventory administration, procurement, or parts operations? We're looking for a Stock Control Administrator to join our team at our Duxford office , where you'll play a key role in supporting our parts operation through accurate administration, stock coordination, and excellent customer service.
What you'll be doing
This is a office-based administration role working closely with our Warehouse team , suppliers, and internal departments to ensure parts are ordered, tracked, and managed effectively. You'll be responsible for maintaining accurate stock records, processing orders, updating systems, and helping to ensure parts are available to support business and customer requirements.
Key responsibilities include
- Managing parts ordering activities with Volvo and non-Volvo suppliers to support customer and business requirements.
- Working closely with the Warehouse team to coordinate stock movements, deliveries, and inventory accuracy.
- Monitoring stock availability, backorders, supplier performance, and inventory levels to support effective planning and service delivery.
- Maintaining accurate parts records, system updates, invoice reconciliations, and supplier information within the Dealer Management System (DMS).
- Responding to parts availability enquiries, lead time requests, and stock-related queries from internal and external customers.
- Supporting import, export, dealer-to-dealer, and drop-shipment administration activities while ensuring processes are followed correctly.
- Producing reports and carrying out general stock administration to support the smooth running of the Parts function.
- What you'll need
- We're looking for a proactive administrator who enjoys working with systems, data, and processes, while building strong relationships with colleagues across the business.
To be successful, you'll have
- Previous experience in an administrative role within stock control, inventory management, procurement, parts administration, logistics, or a similar environment.
- Strong attention to detail and the ability to maintain accurate records across multiple systems.
- Excellent communication and customer service skills, with the confidence to work closely with warehouse colleagues, suppliers, and other internal stakeholders.
- The ability to manage priorities, organise workloads, and meet deadlines in a busy office environment.
- Good Microsoft Office skills, particularly Excel, and confidence using business systems and databases.
- A proactive approach to problem-solving and identifying opportunities to improve processes.
This role is based full-time at our Duxford office , working closely with the Warehouse and Parts teams to support efficient stock management and excellent customer service across the business.
