We are seeking Publications Technology Specialist to join our Medical Communications (MedComms) team who will be responsible for the administration, maintenance, optimization, and ongoing management of scientific publication management systems used to support client publication planning and execution within a medical communications environment. This role serves as the primary subject matter expert for publication databases and related technologies, ensuring data integrity, operational efficiency, compliance, and seamless support for internal teams and external clients.
The ideal candidate brings deep expertise in scientific publication platforms such as iEnvision, PubsHub, Pubstrat, or comparable publication planning and tracking systems. The individual will partner closely with publication leads, account teams, clients, and vendors to maintain high-quality publication data and enable effective publication planning, tracking, reporting, and compliance activities.
Key Responsibilities
Publication Database Administration & Management
- Serve as the primary administrator and internal expert for publication management systems and databases.
- Manage day-to-day maintenance, configuration, updates, troubleshooting, and optimization of publication platforms.
- Maintain accurate and current publication records, including manuscripts, congress presentations, abstracts, timelines, authorship details, and associated metadata.
- Ensure consistency, quality, and integrity of data across systems and reporting tools.
- Oversee system permissions, user access, role assignments, and security protocols.
- Coordinate software upgrades, enhancements, integrations, and vendor-supported initiatives.
Client & Stakeholder Support
- Partner with client publication teams to support review and deadline tracking of any projects moving through system.
- Provide system onboarding, user training, guidance, and ongoing support to internal and external stakeholders.
- Develop and maintain user guides, SOPs, workflows, and best practices documentation related to publications database use.
- Respond to user inquiries and troubleshoot system or data-related issues in a timely manner.
- Serve as a liaison between internal teams and software vendors.
Reporting & Analytics
- Generate routine and ad hoc publication reports, dashboards, metrics, and analytics for internal teams from publications database.
- Support tracking of ongoing reviews, review deadlines, and compliance reporting.
- Assist teams with extracting and interpreting publication data to support business and client needs.
- Identify opportunities to improve reporting automation and operational efficiencies.
Compliance & Process Excellence
- Work with Client Services and Project Manager leads to ensure publication systems and processes align with applicable industry standards, client requirements, and compliance expectations.
- Support client publications database audit readiness through accurate documentation and data management practices.
- Recommend and implement process improvements that enhance data quality, operational effectiveness, and user experience.
- Contribute to the development and refinement of publication operations workflows.
Cross-Functional Collaboration
- Collaborate with publication professionals, project management, IT, medical writers, account teams, and clients to support successful publication delivery.
- Participate in strategic initiatives related to publication systems, data governance, and operational scalability.
- Support integration of publication databases with other operational or reporting platforms where applicable.
Qualifications
Education & Experience
- Bachelor’s degree in Life Sciences, Information Systems, Healthcare Administration, Business, or a related field preferred.
- 2+ years of experience managing scientific publication databases or publication management systems within a medical communications, pharmaceutical, biotechnology, or healthcare environment.
- Demonstrated mastery of publication management platforms, including systems such as iEnvision, PubsHub, Pubstrat, or similar tools.
Technical Skills
- Advanced proficiency in publication database administration and data management.
- Strong understanding of publication lifecycle management and scientific publication workflows.
- Experience with reporting tools, dashboards, and data exports.
- Advanced Microsoft Excel skills and familiarity with data visualization or business intelligence tools is a plus.
- Understanding of data governance, quality control, and system administration principles.

- Knowledge of system implementation, migration, or integration projects preferred.
