Customer Supplied Equipment Coordinator
Harvard Integrations LP · Tea, SD, United States
About The Role
The CSE Coordinator owns the receiving and verification of customer-supplied equipment (CSE). The role provides forward visibility into what CSE is expected, when it is needed, and whether it matches design intent. The Coordinator receives, inspects, documents, and reconciles CSE against internal drawings and manufacturer documentation, and coordinates with Project Management to resolve discrepancies before they impact the production schedule.
Scheduling and Planning
- Review the production schedule to identify upcoming CSE requirements and required-on-site dates.
- Maintain a forward-looking log of expected CSE by job, item, quantity, and need-by date.
- Flag gaps between expected CSE arrival and production need dates; provide early warning of at-risk items.
Receiving & Verification
- Physically receive incoming CSE at a Harvard Integrations warehouse facility.
- Verify received items against internal drawings, Bills of Material (BOMs), and manufacturer documentation — part number, model, spec, revision, quantity, and configuration.
- Inspect for damage, completeness, and correct condition of CSE on arrival.
- Confirm items match the original drawings and design intent before release to production.
Documentation & Logging
- Photograph incoming CSE — condition, labeling, packaging, and any discrepancies.
- Log receipt details in tracking system: item, job, date received, condition, and verification status.
- Maintain organized, retrievable records for traceability and audit.
Issue Resolution & Coordination
- Identify discrepancies — wrong item, wrong revision, damage, shortage, or missing documentation.
- Work with Project Management to resolve CSE issues and close out discrepancies.
- Escalate items that put the production schedule at risk.
- Communicate CSE status to production, purchasing, and project stakeholders.
Additional duties as requested.
