About The Role

Position Overview

The Front Office Assistant will be responsible for ensuring the smooth and professional operation of the reception and front office function, creating a positive experience for visitors, employees, and other stakeholders, while providing related administrative support to the Corporate Services function.

Key Responsibilities

  • Manage the reception/front office and serve as the first point of contact for visitors, employees, suppliers, and other stakeholders.
  • Welcome, register, and direct visitors while ensuring a professional and positive visitor experience.
  • Handle incoming calls, emails, enquiries, mail, and courier deliveries and direct them appropriately.
  • Coordinate visitor appointments, meeting room bookings, and meeting arrangements, including refreshments and other requirements.
  • Provide general administrative support, including filing, printing, scanning, photocopying, record keeping, and document management.
  • Maintain visitor registers, contact lists, and other front office records.
  • Assist with office supplies, courier services, travel/logistical arrangements, and other office-related requirements.
  • Coordinate with suppliers, security, cleaners, couriers, and other service providers as required.
  • Report office maintenance, facility, and security issues to the relevant team.
  • Maintain confidentiality and demonstrate professionalism in all interactions.
  • Support internal meetings, workshops, events, and other Corporate Services activities as required.

Qualifications & Experience

  • Diploma or bachelor's degree in business administration, Office Administration, Secretarial Studies, Hospitality, Customer Service, or a related field.
  • 2–3 years of relevant experience in front office, reception, administration, customer service, hospitality, or a similar role.
  • Excellent written and verbal communication skills in English.
  • Good knowledge of Microsoft Office applications, particularly Word, Excel, Outlook, and Teams.
  • Strong organisational, interpersonal, and customer service skills.
  • Professional appearance, positive attitude, and ability to work with people from diverse backgrounds.
  • High level of integrity, confidentiality, attention to detail, and reliability.
