Accountabilities

  • Monitor corporate card activity for unusual, unauthorized, or out-of-policy transactions and follow up directly with cardholders when clarification is required.
  • Maintain accurate records of corporate cardholders, spending limits, account changes, and related information.
  • Review employee expense reports for accuracy, completeness, proper categorization, receipts, and compliance with company policies.
  • Identify missing documentation, policy violations, and incorrectly categorized expenses, working with employees to resolve discrepancies promptly.
  • Help maintain and improve expense policy documentation so employees have clear and accessible guidance.
  • Monitor cloud and compute-related expenses, including AI and technology services, and help ensure spending is aligned with approved enterprise agreements and accounts.
  • Track department-level budgets against actual spending on a regular basis and identify relevant variances or outstanding items.
  • Build and maintain clear reports covering spending trends, budget performance, variances, and unresolved issues for finance leadership and department stakeholders.
  • Support month-end close activities by ensuring card and expense information is complete, accurate, and correctly categorized before being transferred to accounting.
  • Contribute to the development of clean, scalable, and repeatable processes for corporate spending, expense management, and financial reporting.

Requirements

  • 0–2 years of experience in finance, accounting, operations, administration, or a related field; relevant internships are considered.
  • Comfortable working with Excel or Google Sheets, including basic formulas, data organization, and spreadsheet-based reporting.
  • Exceptional attention to detail and the ability to identify small discrepancies before they become larger financial or compliance issues.
  • Strong written communication skills and the ability to follow up professionally with employees regarding expenses, documentation, and company policies.
  • Highly organized, dependable, and capable of managing recurring, deadline-driven responsibilities such as monthly reporting and renewal tracking.
  • Ability to work independently while maintaining accuracy and consistency across repetitive financial processes.
  • High level of integrity and discretion when handling sensitive financial, payment, and employee information.
  • Basic understanding of accounting concepts such as expense categorization, accruals, and budget-versus-actual analysis is advantageous.
  • Previous experience with Brex, Ramp, or a similar corporate card and expense management platform is a plus.
  • Ability to thrive in a fast-paced, high-ownership environment and adapt quickly as processes and responsibilities evolve.
