This role is a current 10‑month contract vacancy on the Allied team.
Purpose
Provide administrative support across a portfolio of construction projects. As a Coordinator, Construction, you will support contract coordination, vendor management and financial processes.
Reporting to the Senior Director, Technical Services, you will collaborate across the organization to play a key role in ensuring projects are well documented, financially tracked and delivered according to expectations and timelines.
Responsibilities
Manage all project-related administration and documentation, ensuring accuracy and completeness, including leading or assisting with the preparation, review, and formal award of tenders, collecting and reviewing all construction documents from contractors and consultants.
Issue all jobs and contracts in Yardi, including change orders.
Coordinate with relevant Construction team members to ensure project timelines and expectations are met; follow up as necessary.
Assist with tracking budgets, commitments and expenses to support financial reporting.
Attend and support project teams at in-office and off-site meetings as required.
Review and process project related account payables to ensure accuracy and completeness.
Support accrual process working with members of Construction team.
Support the construction team in all financial matters.
Act as the liaison for the Accounting department on contract and account payable matters.
Communicate daily with Construction team on a variety of job-related topics, including Vendor management, Contract Management and Procurement administration.
Coordinate vendor onboarding, ensuring all compliance documentation is complete and current
Maintain organized and current project files.
Help develop and foster relationships internally and externally with project-related vendors.
Maintain project data and systems information, ensuring all files are complete and accurate, properly version controlled and have valid and executed documentation, and are properly filed in SharePoint.
Other duties as assigned.
Qualifications
- Minimum of 1-2 years of professional experience in construction, real estate or property management is an asset.
- Strong interpersonal skills, including a proven ability to build relationships.
- Collaborative worker; effective member of a team.
- Proficient with Excel, Word and Outlook applications.
- Ability to work under pressure in meeting deadlines, by managing multiple priorities, high volumes of documentation, and utilizing strong organizational and time management skills.
- Knowledge of Yardi an asset.
