This is a full-time, fully remote opportunity supporting the administration and operational execution of a national residency matching <process.You>’ll work at the intersection of data, systems, processes, and stakeholder coordination in a deadline-driven environment.The role offers meaningful ownership of operational activities that require accuracy, sound judgment, and strong organizational <skills.You>’ll help validate data, maintain processes, support system changes, and contribute to reliable day-to-day platform operations.The position also provides opportunities to analyze operational performance and identify improvements that enhance efficiency and service <quality.You>’ll collaborate with internal teams and cross-functional stakeholders while contributing to projects, testing, and continuous improvement initiatives.This role is particularly well suited to an analytical, detail-oriented professional who enjoys learning, solving problems, and making complex operations run smoothly.
Accountabilities
- Support the administration and day-to-day operational execution of the residency matching process and related platform activities.
- Execute match-related activities and validate operational data to maintain accuracy, integrity, compliance, and adherence to critical timelines.
- Develop, review, and maintain operational schedules, procedures, workflows, business processes, standard operating procedures, and operational guides.
- Assess new system functionality, policy changes, and business requirements, incorporating relevant updates into processes and documentation.
- Prepare operational reports, performance metrics, and ad hoc analyses to support decision-making and identify opportunities for improvement.
- Support testing for system releases, enhancements, implementations, and operational changes, working with relevant stakeholders to validate functionality.
- Participate in continuous improvement initiatives designed to strengthen operational efficiency, data quality, processes, and service delivery.
- Provide additional support to client-facing teams during peak periods and help maintain timely, accurate, and high-quality communications.
- Contribute to cross-functional projects and provide operational guidance, knowledge sharing, and coordination to colleagues and internal stakeholders.
- Identify operational risks, inefficiencies, and improvement opportunities, using data and process insights to recommend practical solutions.
- Take on additional operational responsibilities as required while maintaining strong ownership, accountability, and attention to detail.
Requirements
- Bachelor’s degree in business administration, operations management, analytics, health administration, public administration, or a related discipline.
- At least 3 years of experience in operations, administration, client services, project coordination, business coordination, process management, or a related field.
- Strong critical-thinking, analytical, organizational, and problem-solving skills, with the ability to manage multiple priorities and deadlines simultaneously.
- Demonstrated experience analyzing data and translating findings into actionable operational insights or process improvements.
- Exceptional attention to detail and a consistent commitment to accuracy and data quality.
- Experience identifying opportunities to improve business processes and operational workflows.
- Ability to learn and adopt new technologies, systems, automation solutions, and AI-enabled productivity tools.
- Experience supporting system implementations, testing activities, operational changes, or technology-driven process improvements is an asset.
- Strong ability to work independently while collaborating effectively with distributed teams and multiple stakeholders.
- Proficiency with Microsoft 365, particularly Excel, Teams, and SharePoint.
- Familiarity with CRM platforms such as HubSpot or comparable systems is an asset.
- Strong communication, prioritization, time-management, and decision-making abilities, with sound judgment in a fast-paced environment.
- A proactive, adaptable, and collaborative mindset, with a strong interest in continuous improvement and systems thinking.
- Bilingual proficiency in English and French is considered a strong asset.
