About The Role
Job Req Number: 125641 Time Type: Full Time ESSENTIAL DUTIES AND RESPONSIBILITIES Ensure the accurate and timely movement of ocean freight to- and from specific locations within the service standards agreed with the Customer Execute multimodal FCL pre/on-carriage services (Hinterland Transportation) by truck, rail or barge Execute multimodal LCL pre/on-carriage services (Hinterland Transportation) by truck (LTL) or rail Execute country specific Import customs clearance processes Handle selected Vendor facing communication and shipment related internal communication. Participate in ad-hoc projects related to business process improvement (Internal and External). Perform value-added task within the scope of the function to meet customer requirements and changes made in the operations process. Ensure all customs permit declaration are in compliance with Singapore Customs Regulations and Procedures. Act in a manner which increases Customer satisfaction and loyalty, maximizes shipment profitability and decreases operating expenses Promote a paperless, digital office environment utilizing all modern communication methods and electronic tools provided by the company Support a positive, attractive working atmosphere and office environment SPECIFIC ACCOUNTABILITIES Activate and/or create shipment in system Update shipment arrival information in system Receive Carrier's Arrival Notice Request cargo release information, documents and freight invoice from Carrier - as applicable Perform required interaction incl. document transfer with external customs broker - as applicable Receive Original HBL from Consignee and confirm receipt in system - as applicable Check actual shipment arrival date with Carrier and confirm in system - as applicable Check shipment delivery status and confirm in system - as applicable Check empty container return to CY (Container Yard) and confirm in system - as applicable Ensure that Original MBL is surrendered to Carrier at origin or destination - as applicable Create exceptional and accessorial cost accruals in system. Check container arrival at CY (Container Yard) and confirm in system. Perform required interaction with CY (Container Yard) and port authorities - as applicable Manage and resolve invoicing disputes with vendors Request update from/with MDM Team (Master Data Management) as applicable Receive and/or forward relevant Vendor documents to GBS for uploading into digital archive (ODM) - as applicable Ensure compliance with Customer specific KPI's - as applicable Provide self-pickup instructions to Consignee - as applicable (Sender shown as "Customer Management") Send delivery details to Consignee - as applicable (Sender shown as "Customer Management Provide shipment details (manifest) to customs authorities - as applicable Provide "Change Advice" to Consignee - as applicable Monitor container pickup status at CY (Container Yard) Provide demurrage & detention details to Import Customer Management Team Confirm self-pickup details in system - as applicable Initiate credit check for Consignee and follow up on credit issues with Finance Team Receive pick up/delivery requests from Customer Management Teams via system Determine optimal vendor, routing and price Provide delivery/pick up/drayage instructions to vendors Confirm pick up/delivery and empty container return Confirm container delivery to the CY (Container Yard) Update system data with truck / vendor details - as applicable (ideally done electronically) Identify match-back and proactively combine load opportunities Receive and check hinterland vendor invoices then forward to OA for posting Prepare and submit required documents to relevant government authorities to obtain customs permit and/or certificate of origin – as applicable Accuracy check of the customs required data entry Creation and submission of required documents to Customs and/or Customs Broker - as applicable Direct communication with Customs and/or Customs Broker - as applicable Direct communication with government body - as applicable Create Customs related income reserves and cost accruals in system incl. duties and taxes Verify and create income reserves and cost accruals in system Finalize the printing of the invoices for Handover shipments Timely and accurate completion of activities in system INFORMED All general management guidelines, processes and developments of importance to the operational execution of sea freight products All Sea Freight related guidelines, processes and developments of importance to the operational execution of sea freight products All KAM/Sales related guidelines, processes and developments of importance to the operational execution of sea freight products All IT related guidelines, processes and developments of importance to the operational execution of sea freight products QUALIFICATIONS Ability to multi-task Effective communication skills and professional communication etiquette Fluency in written and spoken English Fluency in written and spoken [local] language Perform well under pressure Strong computer (Windows PC) skills Typing skills (at least 30 words per minute) Decision-making and problem-solving skills Ability to prioritize and manage time Attention to detail and accuracy Organizational skills Must work well within a team EDUCATION AND/ OR EXPERIENCE Minimum GCE O' level is preferred. Willingness to address operational issues outside of office hours as needed. Minimum 1 year of working experience in the sea freight industry is preferred Knowledge of ocean freight, international trade and relevant laws, regulations, Supply Chain processes and procedures will be preferred DSV – Global transport and logistics Working at DSV means playing in a different league.
