About The Role
Configuration & Document Management Officer (CADM) – EU Space Programme (EUSPA), Prague Configuration control, data package deliveries and document management for Europe’s space programmes Terma is building the Configuration and Data Management (CADM) team that supports the European Union Agency for the Space Programme (EUSPA) at its Headquarters in Prague, Czech Republic. At the heart of the role is the flow of data package deliveries – around 1 800 packages a year, some twenty documents each: you will prepare and review the delivery notes, accept incoming and prepare outgoing deliveries, verify that each one complies with the CADM requirements and keep the delivery status registers accurate. Around that core sits the configuration management work itself – configuration identification, control, accounting and verification, the quality checks on the agency’s documentation, the bi-weekly reporting of CADM activities with metrics, and training colleagues on the document management system. This is work for someone who believes that the right version of the right document, in the right place, at the right time, is what actually keeps a space programme on track – and who gets real satisfaction from a register that reconciles and a delivery that passes acceptance first time. The role grows with what you bring: the more experience you have in configuration and data management, the more of the coordination side you will take on – shaping the procedures, owning the bi-weekly reporting and metrics, and guiding the other document controllers. The cadence is steady and the standards are high, in an international and multicultural team working on Galileo, EGNOS and Copernicus. The position is based on site in Prague and, for reasons of access to the customer’s premises and information, is open to EU citizens only. Planned start: end of 2026. The position will include tasks such as: Data package deliveries and delivery notes Prepare and review the delivery note for every data package processed – around 1 800 packages per year, of some twenty documents each. Accept incoming deliveries and prepare outgoing deliveries. Verify that each delivery complies with the EUSPA CADM requirements, and return or escalate the ones that do not. Delivery registers and information integrity Maintain the delivery status registers in the document management system and in Redmine. Safeguard the correctness, accessibility, availability, reliability and security of the information handled. Configuration management and control Define, implement and maintain the configuration and document management processes and procedures. Perform configuration identification, configuration control, configuration status accounting and configuration verification. Documentation quality checks Carry out quality checks on EUSPA documentation against the applicable quality requirements – in the order of 200 checks per year. Report the findings and follow them up with the document owners until they are resolved. Coordination, reporting and metrics Contribute to the coordination of the EUSPA CADM activities and to the bi-weekly reporting on them, including the agreed metrics. With growing experience, take the lead on that coordination: guide the other document controllers and organise the work so that the delivery-note flow never stops. Training and user support Deliver training on the documentation management tools and support colleagues in their daily use. Key Qualifications Mandatory requirements EU citizenship – only candidates holding the citizenship of an EU Member State can be considered; an EU work visa or residence permit is not sufficient for this contract. At least 1 year of professional experience in services of a similar nature (contractual minimum for this framework contract). English at CEFR level B2 as a minimum, written and spoken, and demonstrable in your CV – it is the working language of the customer. An up-to-date CV in English, preferably in Europass format, stating your name and surname. Education and experience Post-secondary education in documentation or information management; a university degree in information or configuration management, or in engineering, is considered an asset. At least 3 years of relevant professional experience in document control, technical documentation, configuration management support or a comparable document- and data-intensive administrative role. Experience of configuration and data management within a space, defence, aerospace or large industrial programme is a strong asset for this position. Experience with formal delivery and acceptance processes – delivery notes, data packages, compliance verification – is a strong asset. Candidates with more extensive experience – in the order of five years or more in configuration and data management, including the coordination of a small team – can take on the coordinator scope of the role: defining the procedures, owning the metrics reporting and guiding the document controllers. Experience in defining or improving documentation processes and procedures, and in reporting on them with metrics, is an advantage. Experience gained in an international organisation, EU institution or agency, or in a multinational company is an advantage. Skills and competencies Confident use of a document management system and of Redmine or a comparable tracking tool, together with a very good command of MS 365 and Excel for registers and tracking sheets. Familiarity with configuration management tooling and with metrics reporting is an asset – full training on the customer’s tools is provided. Exceptional accuracy and attention to detail: version numbers, references and delivery statuses have to be right, every single time. Method and consistency – you apply a procedure the same way on the hundredth data package as on the first. Reliability with a hard recurring cadence: the bi-weekly delivery and reporting deadlines are fixed dates. The confidence to reject a non-compliant delivery politely and constructively, and to follow it up until it is corrected. The ability to organise your own workload reliably and – as you grow into the coordination side – to help plan the team’s work around leave and peak periods so that throughput stays steady. Clear drafting in English, and the ability to explain a documentation rule to a colleague who is in a hurry. Discretion and integrity in handling programme and commercially sensitive information. Team player, comfortable in a multicultural environment; an interest in space and the EU space programme is a plus. Knowledge of Czech or another EU language is an asset, but not a requirement.
