About The Role

Recruitment & Training Support Officer – EU Space Programme (EUSPA), Prague Administrative support to selection procedures and to the agency’s training and learning activities Terma is looking for a Recruitment & Training Support Officer to join our team at the Headquarters of the European Union Agency for the Space Programme (EUSPA) in Prague, Czech Republic. Working as part of the customer’s HR team, you will provide the administrative backbone for two activities that run side by side: the agency’s selection procedures – vacancy notices, documentation, panel logistics and records – and its training and learning activities, from the practical organisation of in-house sessions and team events to individual training applications, attendance records, provider contracts and budget follow-up. It is a hands-on administrative role for someone well organised who likes variety, keeps a cool head when several selection procedures and training activities run in parallel, and takes satisfaction in a recruitment process and a training day that run without a hitch. You will be in daily contact with candidates, selection panel members, colleagues and external providers, and your work will contribute directly to building the teams behind Europe’s space programmes. The position is based on site in Prague and, for reasons of access to the customer’s premises and information, is open to EU citizens only. Planned start: end of 2026. The position will include tasks such as: Administrative support to selection procedures Provide administrative support to the organisation of the selection procedures – the largest single block of work in this role: prepare and check the documentation, arrange the logistics for the selection panels and maintain the records. Handle the correspondence with candidates and panel members, and arrange the interview and test slots. Check each completed procedure against the checklist so that the file is complete and compliant. Vacancy notices and employer branding – administrative processing Prepare and disseminate the vacancy notices across the agreed publication channels, on the basis of the texts provided. Process the contracts and order forms for employer branding activities, career fairs and dissemination channels, and follow up with the providers. Practical organisation of training sessions and team events Handle the practical organisation of the in-house training sessions: invitations and registrations, room and catering logistics, distribution of the materials provided by the trainer, assistance on the day and follow-up with the provider. Support the practical organisation of team-building activities and team events. Training administration and records Process the individual training applications and follow up with the applicants and their managers. Provide administrative support to the upkeep of the e-learning platform (EU Learn): enrolments, session records and course data maintained on request. Track attendance and issue the certificates of completion. Contracts, budget follow-up, databases and reporting Process the contracts and order forms for the training activities and follow up with the providers. Support the monitoring of the training budget, including the cross-checking of commitments against payments. Keep the databases and reporting files up to date – training calendar, budget table, attendance and reporting tables. Monitor the recruitment and training mailboxes and reply to the routine, straightforward queries. Key Qualifications Mandatory requirements EU citizenship – only candidates holding the citizenship of an EU Member State can be considered; an EU work visa or residence permit is not sufficient for this contract. At least 1 year of professional experience in services of a similar nature (contractual minimum for this framework contract). English at CEFR level B2 as a minimum, written and spoken, and demonstrable in your CV – it is the working language of the customer. An up-to-date CV in English, preferably in Europass format, stating your name and surname. Education and experience Post-secondary education in human resources, education or training management, administration or a comparable field. At least 3 years of relevant professional experience in recruitment coordination, training administration, learning and development support, HR administration or a comparable HR support role. Hands-on experience in coordinating recruitment or selection procedures, including candidate communication and interview scheduling, is a strong asset for this position. Experience in organising training sessions, workshops or events, including contact with external providers, is a strong asset. Experience with a learning management system – EU Learn or comparable – or with an e-recruitment or applicant tracking tool is an advantage. Experience with purchase orders, order forms, provider contracts or budget monitoring is an advantage. Experience gained in an international organisation, EU institution or agency, or in a multinational company is an advantage. Skills and competencies Very good command of MS 365 – in particular Excel for tracking tables and the cross-checking of commitments against payments. Familiarity with an e-recruitment tool, a learning management system and a document management system is an asset – full training on the customer’s tools is provided. Excellent sense of organisation and planning: able to run several selection procedures and training activities in parallel and keep every deadline and checklist under control. High level of accuracy and attention to detail – in candidate documentation, attendance records and budget figures alike. Confidence with figures for the reconciliation of commitments, payments and contract consumption. Excellent communication skills and a service-minded, professional manner towards candidates, panel members, colleagues and external providers. Discretion and integrity in handling candidate and personal data, in line with data protection rules. Hands-on and flexible – happy to be present at training sessions and team events and to make sure the practical details are right. Proactive, solution-oriented attitude: you spot what needs to be done and follow up until it is closed. Team player, comfortable in a multicultural environment; an interest in space and the EU space programme is a plus. Knowledge of Czech or another EU language is an asset, but not a requirement.
