Intake Specialist

We are looking for a detail-oriented and client-focused Intake Specialist to join our team. In this role, you will be the first point of contact for prospective clients, ensuring a smooth onboarding experience while gathering and managing critical case information.

Responsibilities

• Serve as the first point of contact for prospective clients
• Conduct intake interviews and collect all required information
• Accurately document client details in CRM and intake systems
• Explain company processes, timelines, and next steps clearly
• Verify documentation and follow up on missing information
• Schedule consultations and appointments
• Maintain confidentiality and professionalism at all times
• Escalate urgent or complex matters as needed
• Support client onboarding and account setup
• Keep organized intake records and communication logs

Requirements

• Personal Injury intake experience (required)
• Experience working with U.S. law firms (required)
• Near-native / C2 English proficiency (written and verbal)
• Excellent professional communication and interpersonal skills
• Experience communicating with clients or external stakeholders
• Strong attention to detail and accuracy
• Excellent time management, organization, and prioritization skills
• Ability to work independently and meet deadlines
• Strong multitasking skills in fast-paced environments
• Problem-solving, analytical thinking, and adaptability
• Ability to maintain confidentiality and professionalism
• Experience with U.S.-based clients or companies (preferred)
• Background in Personal Injury or Workers’ Compensation (preferred)
• Familiarity with legal, medical, insurance, or claims processes
• Experience managing case files and client documentation
• Experience with case management systems (Casepeer, Filevine, Clio, or similar)
• Ability to follow SOPs, workflows, and compliance requirements
