About The Role

A. ACCOUNTABILITIES

  • Support the Manager, Brand & Creative in coordinating and controlling the flow of creative work from brief to delivery, with clear visibility of priorities, deadlines, resources and approvals.
  • Act as the day-to-day coordination link between Brand & Creative, internal teams, suppliers and production partners, helping communication stay clear and work keep moving.
  • Enable Brand & Creative to respond more reliably to Customer Experience and company requirements while the Manager retains brand & creative direction, prioritization and final oversight.

B. RESPONSIBILITIES

  • Receive creative requisitions, verify that briefs and required inputs are complete, seek clarification where needed and keep the creative work tracker current.
  • Build and maintain schedules against priorities set by the Manager; coordinate internal and external resources and flag clashes, delays or capacity risks early.
  • Communicate confidently with different teams and levels, following up on inputs, consolidated feedback, approvals, delivery dates and production handovers so assigned jobs continue moving.
  • Coordinate shoot and production logistics, including travel, locations, participating staff or talent, equipment, suppliers and external crew.
  • Source quotations, materials and production requirements; verify availability, costs and key facts, and maintain organised project and approval records.
  • Use AI and productivity tools for briefs, schedules, checklists, research and status reporting; identify recurring workflow issues and recommend practical improvements.

C. ACCOUNTABILITIES

  • Accountable for the accuracy and currency of the creative work register and for providing the Manager & HOD with clear visibility of workload, status, dependencies and deadlines.
  • Accountable for timely, professional coordination and follow-up of assigned work, including escalating risks before they materially affect delivery.
  • Accountable for operating within priorities and direction set by the Manager; the role does not own creative direction, final creative approval or unapproved expenditure.

D. AUTHORITY

  • May return incomplete requests for clarification and coordinate schedules, logistics, follow-ups and routine creative-services activity within approved priorities.
  • May obtain quotations and coordinate suppliers or production arrangements but may not commit expenditure beyond approved company authority.
  • May recommend sequencing and resource allocation; changes to priorities, creative direction, brand decisions and final approvals remain with the Manager.
  • Must escalate deadline conflicts, resource or budget gaps, sensitive issues, external communication commitments and matters outside delegated authority.

E. DELEGATION OF DUTIES

  • During absence, routine creative-services coordination may be covered by the Manager or a designated Brand & Creative team member.
  • Administrative follow-up, logistics, tracker updates and other routine tasks may be delegated where appropriate, including to company-approved AI-enabled tools or workflows where suitable.
  • The role remains accountable for checking the accuracy, completeness and appropriateness of any delegated or AI-assisted output before use.
  • Any delegated activity must remain within the Manager’s agreed priorities, project scope and existing approval limits.
  • Creative direction, final creative approval, budget authority and sensitive external communications cannot be delegated by this role unless formally authorised.

F. MINIMUM QUALIFICATIONS

  • Diploma, degree or equivalent practical experience in branding, creative, design, marketing, project coordination, production or a related field.
  • Strong organization, follow-through and communication skills, with confidence working across different teams and levels.
  • Resourceful and practical in coordination, logistics, sourcing and problem solving.
  • Enthusiastic about travel and destination-related work, and comfortable travelling when required.
  • Comfortable using common productivity and AI tools.
  • Strong interest in visual content, photography, video and creative production; basic hands-on experience in any of these areas is an advantage.
