JOB SUMMARY: The Change Management Specialist supports the successful adoption of technology solutions, business process improvements, and organizational initiatives through the coordination of change management, training, communication, and user enablement activities. This role collaborates with business leaders, project teams, subject matter experts, and stakeholders to develop and deliver effective learning experiences, communications, and support resources that promote employee readiness, engagement, and adoption across the organization. The position serves a diverse workforce, including field-based and multilingual employees, by creating clear, accessible, and practical resources that support successful change implementation. The successful candidate demonstrates strong initiative, works independently with minimal oversight, effectively balances multiple projects and competing priorities, and adapts to changing business needs within a dynamic environment.

  • Coordinate and support change management activities for technology implementations, system enhancements, process improvements, and organizational initiatives.
  • Develop and maintain training plans, schedules, project timelines, and implementation support activities.
  • Coordinate training logistics, including scheduling, travel arrangements, location coordination, material preparation, and distribution.
  • Deliver and facilitate virtual and in-person training sessions, workshops, and informational meetings.
  • Develop, review, and maintain training materials, communications, presentations, job aids, reference guides, videos, graphics, and other learning resources.
  • Assess audience needs and recommend appropriate training, communication, and adoption strategies.
  • Create engaging digital, multimedia, and print-based content to support employee learning and organizational change initiatives.
  • Coordinate translation and localization of training and communication materials to support diverse employee populations.
  • Facilitate stakeholder reviews and content approvals while ensuring alignment with organizational branding, communication standards, and accessibility requirements.
  • Partner with project teams, business leaders, and subject matter experts to provide user readiness and adoption support before, during, and after implementations.
  • Gather employee questions, identify recurring issues or adoption challenges, and coordinate appropriate resolution and follow-up.
  • Monitor training effectiveness, user feedback, and adoption trends to identify opportunities for continuous improvement.
  • Prepare reports, summaries, and status updates related to training activities, communications, and change management initiatives.
  • Support the development and maintenance of change management documentation, communication plans, stakeholder engagement plans, and training records.
  • Independently coordinate and prioritize multiple change management, training, communication, and project support activities, adapting to shifting business needs and project timelines while ensuring deliverables are completed on schedule.

  • Assist with the administration and maintenance of learning, communication, and collaboration platforms.
  • Support employee events, meetings, and workshops related to organizational initiatives and technology adoption.
  • Coordinate printing, shipping, and distribution of training and communication materials.
  • Research emerging training technologies, communication tools, and best practices to improve effectiveness and engagement.
  • Provide general project coordination and administrative support for change management initiatives.
  • Perform other duties and special projects as assigned.

KNOWLEDGE, SKILLS, & ABILITY REQUIREMENTS:

  • Knowledge of change management, adult learning principles, training delivery methods, instructional design, and employee engagement strategies.
  • Knowledge of communication planning, content development, and stakeholder engagement practices.
  • Skill in developing clear, concise, and visually engaging communications, training materials, presentations, and learning resources.
  • Skill in facilitating training sessions, workshops, and group discussions for diverse audiences.
  • Skill in project coordination, scheduling, organization, and management of multiple priorities.
  • Skill in utilizing Microsoft 365 applications and collaboration technologies, including Word, Excel, PowerPoint, Teams, and SharePoint.
  • Skill in using content creation, graphic design, video development, and communication platforms such as Canva, Camtasia, Adobe Creative Suite, Scribe, or similar tools.
  • Ability to interpret complex technical or business concepts and translate them into user-friendly training and communication materials.
  • Ability to build collaborative relationships with employees, leaders, project teams, and stakeholders at all organizational levels.
  • Ability to independently manage multiple projects, competing priorities, and deadlines in a fast-paced and evolving environment while maintaining a high level of organization, accountability, and attention to detail.
  • Ability to exercise sound judgment, work independently with limited direction, and proactively identify and address project, training, and communication needs.
  • Ability to adapt communication and training approaches to meet the needs of diverse employee groups, including field-based and multilingual audiences.
  • Ability to gather, analyze, and utilize feedback to improve training effectiveness, communication strategies, and user adoption outcomes.
  • Strong written, verbal, presentation, facilitation, and interpersonal communication skills.
  • Strong attention to detail, problem-solving skills, and commitment to continuous improvement.

EDUCATION, CERTIFICATION & EXPERIENCE REQUIREMENTS:

  • Associate's or Bachelor's degree in Business Administration, Human Resources, Organizational Development, Communications, Education, Information Technology, or a related field; or an equivalent combination of education and experience.
  • Minimum of two (2) years of experience supporting training, communications, change management, employee enablement, organizational development, project coordination, or technology implementation initiatives.
  • Experience developing and delivering employee training, presentations, communications, or learning resources.
  • Experience coordinating projects, schedules, stakeholders, and implementation activities.
  • Experience utilizing Microsoft 365 applications and business technology platforms.

OTHER PREFERRED REQUIREMENTS:

  • Experience supporting enterprise software implementations, digital transformation efforts, business process improvement initiatives, or large-scale organizational change projects.
  • Professional fluency in English and Spanish.
  • Experience developing multimedia learning content, instructional videos, graphic designs, or digital communications.
  • Experience working with learning management systems (LMS), intranet platforms, or employee communication tools.
  • Familiarity with change management methodologies such as ADKAR, Prosci, or similar frameworks.
  • Experience supporting field-based, operational, or geographically dispersed employee populations.
  • Valid driver's license with the ability to travel to field, office, and training locations as needed.
