What this job involves
As an Event Assistant at JLL, you'll provide comprehensive support across event coordination and site operations, ensuring seamless execution of meetings and events while maintaining smooth day-to-day facility operations. This role combines hospitality-focused event management with operational oversight, requiring you to balance client-facing event coordination with behind-the-scenes administrative and vendor management responsibilities.
Your day-to-day tasks will include:
Event Coordination & Execution

  • Plan and execute internal and external meetings and events from start to finish
  • Consult with clients to determine event needs including space, physical setup, minor A/V requirements, and event support
  • Serve as primary point of contact for event clients; respond to requests in a timely manner per established Service Level Agreements
  • Manage end-to-end ticket lifecycle with Internal Business Partners, including communications, triage, and resolution
  • Triage incoming event requests by evaluating completeness, accuracy, space availability, and resource alignment
  • Provide minor audio-visual support including basic microphone setup, sound activation, and plug-and-play computer connections
  • Execute pre-event, during-event, and post-event support including planning calls, coordinating shipments and guest lists, serving as day-of contact, conducting debriefs, and closing tickets
  • Document lessons learned, review post-event survey feedback, and identify service enhancement opportunities

Operational & Administrative Support

  • Schedule and coordinate vendor activities, site inspections, and service requests
  • Coordinate Certificate of Insurance (COI) administrative support, including requesting and collecting documentation, tracking through compliance platforms, and notifying stakeholders of issues
  • Maintain accurate records of vendor interactions, service requests, site activities, and event documentation
  • Assist in preparing reports on site operations, vendor performance, and event outcomes
  • Conduct supplies inventory audits and coordinate restocking
  • Support implementation of site procedures, protocols, and operational manuals
  • Assist in tracking and reporting on key performance indicators (KPIs)
  • Coordinate site and event meetings and prepare relevant materials
  • Utilize ticketing systems (Corrigo, Google Calendar, Social Tables, Slack, Google Workspace) to document and manage programs

Required Qualifications:

  • High School Diploma or GED equivalent
  • 1–3 years of experience in event planning, project management, hospitality, facilities management, or administrative support
  • Flexible scheduling for early morning and evening event support; weekend support as event schedules require
  • Strong organizational skills and exceptional attention to detail
  • Proficiency in Microsoft Office suite and Google Workspace, particularly Excel, Outlook, and Google Calendar
  • Excellent written and verbal communication skills with ability to communicate professionally at all organizational levels, including C-suite
  • Exceptional customer service skills with a passion for hospitality
  • Ability to multi-task and prioritize effectively in a fast-paced environment
  • Basic understanding of vendor management and building operations
  • Willingness and ability to travel as needed
  • Proven initiative, integrity, and good judgment
  • Highly collaborative with strong interpersonal skills

Preferred Qualifications:

  • Bachelor's degree or proven experience as an event planner or coordinator
  • Experience in facilities management or property management environment
  • Familiarity with scheduling and coordination software, Social Tables, and Slack
  • Experience with data entry and database management
  • Understanding of health and safety practices in workplace settings
  • Basic knowledge of building maintenance and operations
  • Leadership experience with ability to manage multiple priorities and deliver results

This position does not provide visa sponsorship. Candidates must be authorized to work in the United States without sponsorship.
Expected compensation for this position:
66,080.00 – 82,600.00 USD per year
Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
