Supply & Operations Specialist

About the Role:

Provectus is an AI-first engineering company that helps organizations build and deploy production-grade AI solutions. We work with global enterprises across industries, combining AI, cloud, and software engineering expertise to solve complex business challenges.
We are looking for a Supply & Operations Specialist to ensure the smooth and efficient management of supply, procurement, logistics, and day-to-day operational needs of our Odesa office.
You will coordinate deliveries, procure office supplies and equipment, work with suppliers and vendors, and manage related documentation and payments.

What You'll Do

• Manage logistics and all types of deliveries, including DHL, UPS, Nova Poshta, Ukrposhta, Meest Express, and other providers
• Manage the procurement of non-IT office equipment, consumables, supplies, and household items
• Coordinate with suppliers and vendors to ensure timely delivery of goods and services
• Prepare and maintain documentation, reports, presentations, and Google Sheets
• Create and submit payment requests for timely approval
• Ensure all purchased goods and services are properly invoiced and paid on time
• Coordinate office-related operational needs and resolve day-to-day supply and maintenance issues
• Support the organization of team-building activities, corporate events, conferences, and other internal activities
• Coordinate logistics and team support for internal and corporate events

What We’re Looking For

• Experience in supply, procurement, logistics, office operations, administration, or a related field
• English: Intermediate+ level
• Strong organizational and coordination skills
• Experience working with suppliers, vendors, and service providers
• Good attention to detail and ability to manage multiple tasks simultaneously
• Proactive, responsible, and solution-oriented approach
• Ability to work independently and take ownership of operational tasks
• Willingness to work on-site in Odesa
