About The Role

Receptionist

Mon-Fri, 8:30am - 5:30pm

  • Provide exceptional reception and administrative support within a legal office environment.
  • Greet and assist visitors, employees, law partners, paralegals, and legal administrative assistants with a professional and service-focused approach.
  • Answer and handle incoming calls while maintaining professional communication and telephone etiquette.
  • Provide administrative, clerical, hospitality, meeting, and customer service support as needed.

Responsibilities

  • Meet and greet all visitors and employees, providing a professional welcome and excellent customer service.
  • Answer and route incoming telephone calls while following professional phone etiquette.
  • Schedule meeting rooms and ensure rooms have required supplies, beverages, and video conferencing equipment before meetings.
  • Support meetings by arranging meals, food, drinks, coffee, and water as needed.
  • Run daily reports and provide approved value-added services.
  • Perform clerical and administrative duties, including preparing documents, maintaining files and calendars, scheduling appointments and meetings, and assisting with deadlines.
  • Prepare legal documents and correspondence from draft or dictated text as required.
  • Perform clerical duties requiring knowledge of legal procedures and terminology.
  • Maintain an organized, clean, and professional lobby, workspace, supply room, and supply closets.
  • Order and organize office supplies when necessary.
  • Maintain visitor and guest security procedures.
  • Monitor attorney and staff whereabouts to appropriately handle calls, visitors, and questions.
  • Assist with issuing and tracking customer property, including ID badges, cellular phones, phone/address books, and company directories.
  • Serve as a firm concierge by assisting guests, clients, and staff with local information such as restaurants, coffee shops, and other nearby services.
  • Build professional relationships with clients and employees within the firm.
  • Learn and follow the firm’s culture, expectations, key personnel, and workplace procedures.
  • Maintain a professional appearance and provide a professional experience for all visitors.
  • Participate in company and community service events, firm initiatives, and philanthropic activities.
  • Provide value-added services as approved by the Site Manager/Supervisor.
  • Perform other duties as assigned.

Requirements

  • High school diploma required.
  • 3 years of related business experience preferred, with strong preference for administrative and switchboard experience, particularly in a law firm or legal environment.
  • Associate or Bachelor’s degree preferred.
  • Proficiency with MS Office Suite, specifically Word and Excel.
  • Excellent customer service and communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to handle multiple tasks simultaneously and meet deadlines.
  • Professional appearance and business attire required.
  • Professional and polished communication style.
  • Ability to work with technical equipment, including video conferencing equipment.
  • Computer literate.
  • No driving required.
  • First interview will be virtual; second interview will be in person.
