About the Role

We’re hiring an AI and Business Systems Specialist to help Sequoia use artificial intelligence (AI) and better-connected systems to run more efficiently. In this role, you’ll work with the Operations and Systems team to build AI-powered workflows and automations, create AI-assisted marketing and business-development assets, and strengthen the integrations between the systems our team relies on every day—including our client relationship management, project management, scheduling, and accounting tools. This is a hands-on builder role, not a pure prompt-engineering job: you’ll help design solutions, collaborate to wire up the tools that run them, and make sure they keep working.
You’ll report directly to the Operations Manager, collaborate closely with the System Operations Specialist, and work cross-functionally with our operations, marketing, and project teams.

Key Responsibilities

Artificial Intelligence Workflows and Automation

• Identity opportunities for AI automation, such as manual, repetitive processes, and assess where AI can add value to existing business processes and systems
• Identify, evaluate, and test AI-powered workflows and automations using Claude and integrator platforms like Zapier, Make, or n8n, coordinating implementation and maintenance with the Systems Operations Specialist
• Create reusable prompt libraries and templates based on established use cases, as well as standard operating procedures (SOPs), general guidance, and best practices documentation
• Continued evaluation and testing of implemented AI automations to ensure reliability and accuracy

Systems Integration and Implementation Support

• Support the rollout and adoption of Deltek VantagePoint CRM—our customer relationship management suite being added to our existing project management and accounting system, including suggesting and testing AI-components that could best serve our workflows and processes.
• Support integrations and connectivity between Deltek VantagePoint, our Microsoft 365 environment (SharePoint, OneDrive), and other operational tools
• Support application programming interface (API) integrations, webhooks, and data sync between systems
• Identify broken automations, integration gaps, and workflow interruptions and coordinate troubleshooting with the Systems Operations Specialist
• Support the maintenance of clear documentation of how systems and workflows connect

Marketing Workflow Support

• Identify opportunities to integrate AI into marketing workflows, including proposal development, content creation, campaign management, and business-development processes
• Support the Marketing team in building and maintaining AI-assisted automations that reduce manual effort and increase output quality
• Help evaluate and implement AI tools that improve how Sequoia develops proposals, capability statements, website content, and SIERRA Academy materials
• Coordinate with the Operations Manager to document marketing automation workflows and maintain SOPs for AI-assisted marketing processes

Reporting and Documentation

• Support reporting, dashboards, and operational visibility for leadership
• Help identify data inconsistencies or operational gaps across systems
• Support the documentation processes, including easy-to-follow SOPs for AI and automation workflows

Training and Enablement

• Deliver periodic AI training sessions to help the broader team use AI tools more effectively in their day-to-day work
• Provide support to staff on AI tools and workflows, identifying opportunities for continuous improvements
• Evaluate new AI tools and emerging capabilities for our business needs and provide suggestions on how to incorporate into existing business practices

Requirements

Core Experience

• Three or more years of experience working with AI tools, automation, or digital operations
• Strong hands-on experience with Claude
• Familiarity with ChatGPT, Gemini, or similar AI platforms
• Experience with platforms such as Zapier, Make, or n8n
• Basic understanding of APIs, webhooks, and system integrations
• Excellent written and verbal communication
• Strong organizational and troubleshooting skills; comfortable working independently in a remote, US-facing role

Nice to Have

• Experience creating marketing assets using AI (sales/landing pages, email campaigns, and social content)
• Website experience (WordPress preferred)
• Experience with Deltek VantagePoint or a similar CRM/project management/accounting platform—a strong plus given our current implementation
• Microsoft 365 experience (SharePoint, OneDrive, Teams)
• Basic Python or scripting exposure
• SOP or documentation-creation experience
• Graphic design experience (Canva or Adobe Creative Suite)
• Experience in professional services, consulting, or a technical/regulated industry

Compensation and Benefits
Pay: PHP 81,000–92,000 per month
