About The Role

We are seeking a highly organized and proactive Legal Assistant to join our team. This role is ideal for a professional with experience in the US legal system who possesses exceptional communication skills and a keen eye for detail. You will play a crucial role in managing case workflows and ensuring our clients receive top-tier service.

Responsibilities

Case Management: Maintain and update case management software (e.g., Filevine, Clio, or similar) with real-time client progress and documentation.

Medical Records Oversight: Obtain, review, and track medical records, billing statements, and therapy notes from providers and clinics.

Client Intake & Communication: Conduct initial client interviews to gather essential information and provide regular status updates to clients, insurance carriers, and medical providers.

Legal Documentation: Assist attorneys in preparing legal documents, organizing evidence, and verifying information for filings and litigation.

Treatment Tracking: Monitor client treatment plans, identify gaps in care, and notify the legal team of any missed appointments or issues.

Administrative Support: Manage day-to-day tasks including scheduling, document preparation, and high-volume correspondence handling.

Compliance: Ensure strict adherence to HIPAA and other privacy regulations to maintain the confidentiality of sensitive medical and legal data.

Qualifications

Experience: Minimum 2+ years of experience as a Legal Assistant or Virtual Assistant, specifically within a US-based law firm (Personal Injury experience is a significant plus).

Language Proficiency: C2 English level (Native/Bilingual) is preferred; C1 (Advanced/Fluent) is acceptable. Must demonstrate excellent written and verbal communication.

Software Skills: Proficiency in Microsoft Office, Google Workspace, and PDF management tools. Familiarity with legal case management software (Filevine, Clio, etc.) is highly desired.

Technical Knowledge: Familiarity with US legal workflows, medical billing, and the litigation process.

Organizational Skills: Exceptional ability to multitask, meet tight deadlines, and work independently in a fast-paced environment.
