About The Role

The OR Scheduler works under the supervision of leadership to schedule outpatient and inpatient procedures to be completed in the Operating Room and areas requiring Anesthesia assistance. This process includes maintaining OR block utilization, selecting proper procedure cards, and scheduling pre-op testing, and coordinating with other departments. Provides administrative services to the perioperative area, along with customer service to both internal and external customers. This position has no direct physical contact with patients.

  • Receives calls and/or in-person requests from providers, clinics, clinical personnel and patients to schedule and/or reschedule procedures and Pre-Admission testing. Receives calls from patients and/or their representatives regarding PAT appointments and times. Provides exceptional customer service skills (oral, written, and visual communications).
  • Schedules and coordinates surgical procedures and Pre-Admission testing for all surgical patients, coordinating various resources such as providers, rooms, equipment, etc.
  • Verifies correct medical record number and records patient information to maintain accurate patient identification.
  • Assists providers, clinics, or other clinical personnel in finding available time, and/or maintaining proper block utilization with previously scheduled procedures. Gathers necessary information to assist in meeting urgency classification.
  • Selects the appropriate surgical procedure cards to ensure the necessary supplies and instrumentation are available to the surgical team. May adjust procedure times to accurately reflect the time each procedure will take and to facilitate utilization of block requirements in the daily surgical schedule.
  • Notifies the appropriate management when scheduled procedures will require special implants, supplies, and/or the coordination of clinical personnel.
  • Provides administrative services to the perioperative service line. Maintains electronic tracking of staffing, scheduling, attendance records and provides this information to the Director or Associate Director. Directs sales representatives and students to the appropriate personnel and/or location. Coordinates the radiation safety monitoring system.
  • Orders office supplies for department use.
  • Other duties as assigned

Education

  • H.S. Diploma - Required
  • Completion of Medical Terminology or recommend within the first year of employment. - Preferred

Work Experience

  • 1 Year - Experience in Admissions or ancillary service department - Required
  • Clinical experience - Preferred

Licenses and Certifications

  • Upon Hire

Travel Requirements

  • Travel to off-site locations may be required. - Required

Skills and Abilities
Essential Technical/Motor Skills

  • Must be proficient in typing and computer skills.
  • Able to understand and operate office equipment to include computer, copier, fax, calculator, and telephone (including headset).

Interpersonal Skills

  • Able to express and exchange ideas through verbal and written communication.
  • Recognizes and positively responds to customer’s needs.
  • Excellent telephone skills.
  • Position requires exceptional communications skills in areas of extremely sensitive/controversial issues.

Essential Physical Requirements

  • Ability to operate equipment on continuous/repetitious basis such as computer, telephone, fax, calculator, and copier.
  • Job requires sitting mostly, walking and standing occasionally.

  • Ability to decipher complex scheduling issues, spell very well, read and decipher prep instructions for all callers.
  • To comprehend and remember routing and test sequencing.
  • Creativity and ingenuity to refine methods.
  • Able to assess and anticipate needs of the customer and respond appropriately.
  • Must possess excellent organizational skills.
  • Independently work and make decisions affecting scheduling of patient procedures and care.

Essential Sensory Requirements

  • Ability to communicate (hear and speak clearly) over the telephone, one-on-one, or in-group settings.
  • Speech is clear and concise.
  • Ability to see and read for the purpose of a computer screen and various medical literate on a continual basis.
  • Ability to distinguish colors on computer screen.

Exposure to Hazards

  • Minimal.
  • Training requires on-site visits to the areas of service; to include Radiology, Cancer Center, Lab, etc.
  • Standards precautions are taken
