About The Role

The University of Tennessee at Martin is accepting applications for a State Financial Aid Coordinator. The Office of Financial Aid & Scholarships is housed within Enrollment Management in the Division of Academic Affairs and is committed to providing high-quality, student-centered service while supporting student access, enrollment, and success.
Reporting to the Director of Financial Aid & Scholarships, the State Financial Aid Coordinator is responsible for coordinating the day-to-day administration of Tennessee state financial aid programs and designated scholarship programs. This position serves as the office's primary coordinator and resource for state financial aid programs and oversees the awarding, processing, monitoring, and reconciling of the Tennessee Education Lottery Scholarship (TELS) and other state financial aid programs.
The position works closely with students and families, Financial Aid staff, the Tennessee Student Assistance Corporation (TSAC), and campus partners to ensure the accurate, timely, and compliant administration of financial aid. The coordinator also supports financial aid outreach and other office-wide initiatives that contribute to recruitment, enrollment, retention, and student success.

  • Coordinating the administration of Tennessee state financial aid programs, including Tennessee Education Lottery Scholarship (TELS) programs, Tennessee Student Assistance Award (TSAA), and other state-funded scholarship and grant programs;
  • Monitoring student eligibility and renewal requirements, including academic progress and other program-specific requirements;
  • Coordinating the awarding, processing, and reconciling state scholarship and grant programs;
  • Completing required reporting and reconciliation with the Tennessee Student Assistance Corporation (TSAC);
  • Maintaining regular communication with TSAC regarding program policies, regulations, procedures, and system changes;
  • Monitoring changes to state financial aid regulations and requirements and assisting with the development and implementation of procedures to ensure institutional compliance;
  • Providing training and guidance to Financial Aid staff regarding state financial aid requirements;
  • Coordinating designated scholarship processes, including awarding and posting scholarships, monitoring funds, reconciling accounts, and communicating with internal and external partners;
  • Counseling students and families regarding financial aid eligibility, application requirements, financial aid programs, and the impact of enrollment or other changes on financial aid eligibility;
  • Reviewing student financial aid records and documentation and assisting with complex eligibility, awarding, and disbursement issues;
  • Representing the Office of Financial Aid & Scholarships at recruitment, orientation, enrollment, and student success events;
  • Conducting financial aid presentations and participating in FAFSA completion and other financial aid outreach initiatives;
  • Collaborating with Admissions, One Stop Student Services, Student Success, and other campus partners to support recruitment, enrollment, retention, and student success;
  • Assisting with institutional, state, and federal reporting, audits, program reviews, system updates, and other compliance activities;
  • Maintaining current knowledge of financial aid regulations, policies, systems, and best practices through ongoing professional development;
  • Performing other related duties as assigned in support of the Office of Financial Aid & Scholarships.

The successful candidate should demonstrate strong initiative and accountability, an ability to manage multiple priorities and deadlines, and a commitment to remaining current on changing financial aid regulations and requirements. Because the position serves as a key resource for Tennessee state financial aid programs, the ability to analyze issues, identify solutions, and communicate policies and procedures clearly is particularly important.

Qualifications

Minimum qualifications:

  • Bachelor's degree in a relevant field and four years of relevant experience, or an equivalent combination of education, training, and experience.

Preferred qualifications:

  • Advanced degree;
  • Direct experience in financial aid or enrollment management at an institution of higher education;
  • Knowledge of federal and state financial aid regulations;
  • Knowledge of Tennessee Education Lottery Scholarship (TELS) program requirements and other Tennessee state financial aid programs;
  • Experience working with the Tennessee Student Assistance Corporation (TSAC);
  • Experience with Banner or a comparable student information system.

Supervision Received
This position will report to the Director of Financial Aid & Scholarships. In-person and e-mail contact is expected on a regular and frequent basis. Written reports may be expected concerning specific situations. The person in this position is expected to hold regular office hours and check e-mail frequently.
