Job Summary
The Senior Facility Executive is responsible for overseeing day-to-day facility operations, ensuring smooth delivery of soft services, housekeeping, pantry, pest control, vendor management, and client coordination. The role involves managing manpower, maintaining service standards, ensuring compliance, and providing excellent workplace experience for employees and clients.
Key Responsibilities
Operations Management
- Manage daily facility operations and ensure uninterrupted service delivery.
- Supervise housekeeping, pantry, mailroom, and other support services.
- Monitor service levels and ensure compliance with agreed SLAs and KPIs.
- Conduct regular facility inspections and implement corrective actions.
Team & Manpower Management
- Manage deployment and attendance of facility staff.
- Prepare duty rosters and shift schedules.
- Ensure adequate staffing levels during operational hours.
- Conduct team briefings, training sessions, and performance monitoring.
Client & Stakeholder Management
- Act as the primary point of contact for client operational requirements.
- Attend client meetings and provide updates on service delivery.
- Resolve client concerns and escalate critical issues appropriately.
- Build strong relationships with stakeholders and occupants.
Vendor Management
- Coordinate with vendors for housekeeping, pest control, landscaping, and other services.
- Monitor vendor performance and compliance with contractual obligations.
- Verify work completion and process vendor-related documentation.
Compliance & Safety
- Ensure compliance with health, safety, and environmental standards.
- Maintain statutory and audit-related records.
- Support workplace safety initiatives and emergency preparedness activities.
- Conduct routine safety and hygiene inspections.
Administration & Reporting
- Prepare daily, weekly, and monthly operational reports.
- Maintain records related to manpower, attendance, leave, inventory, and vendor activities.
- Track consumables and ensure timely replenishment.
- Support budgeting, billing verification, and cost-control initiatives.
