About The Role

Key Responsibilities

  1. Chairwoman’s Personal Events
  • Plan, coordinate, and execute private dinners, celebrations, receptions, family occasions, social gatherings, and other personal events for the Chairwoman.
  • Coordinate requirements, preferences, schedules, guest arrangements, and special requests with the Chairwoman’s Office.
  • Maintain complete confidentiality and discretion regarding all personal and private matters.
  • Manage guest lists, invitations, RSVPs, seating, dietary requirements, gifts, transportation, and other guest-related arrangements.
  • Source and coordinate venues, catering, décor, entertainment, photographers, security, transportation, staffing, and other event services.
  • Manage event budgets, quotations, contracts, payments, and supplier negotiations.
  • Conduct venue inspections and oversee event set-up, execution, and breakdown.
  1. Corporate & VIP Events
  • Plan and deliver conferences, executive meetings, launches, receptions, client functions, awards, retreats, and internal events.
  • Develop event concepts, programmes, timelines, budgets, guest lists, and run sheets aligned with business objectives and brand standards.
  • Coordinate senior executives, VIP guests, speakers, clients, partners, and internal stakeholders.
  • Oversee event set-up, execution, and breakdown to ensure a seamless and high-quality guest experience.
  1. Stakeholder, Supplier & Budget Management
  • Build and maintain strong relationships with VIPs, senior stakeholders, venues, agencies, hospitality partners, and suppliers.
  • Source and negotiate with venues, caterers, production companies, entertainment, décor, transportation, security, and other service providers.
  • Manage event budgets, quotations, contracts, purchase orders, invoices, and financial reconciliation.
  • Maintain a trusted network of premium venues and preferred suppliers while ensuring cost-effective delivery.
  1. Events Operations & Execution
  • Develop detailed event plans, checklists, floor plans, seating plans, guest lists, and operational schedules.
  • Coordinate logistics and oversee suppliers, contractors, event staff, production teams, and venue requirements.
  • Ensure appropriate risk assessments, security, health and safety, contingency plans, and event standards are in place.
  • Manage last-minute changes, resolve issues efficiently, and conduct post-event evaluations and follow-up.

Job Requirements

  • Flexibility to work evenings, weekends, public holidays, and outside standard working hours when required.
  • Willingness to travel when required for events.
  • Ability to manage highly confidential information with complete discretion.
  • Ability to work effectively in a fast-paced environment with changing priorities and high expectations.
  • Strong availability and responsiveness around key events and engagements.
  • Consistently professional, polished, and service-oriented approach.

Skills & Qualifications

  • Bachelor’s degree in Marketing, Communications, Event Management, Hospitality, or a related field.
  • 5–7 years of experience in event planning and execution, preferably within premium, fashion, lifestyle, or corporate environments.
  • Strong experience in private, VIP, and corporate event management.
  • Strong project management, event logistics, and production capabilities.
  • Proven experience in budget management, supplier sourcing, and contract negotiation.
  • Excellent executive, stakeholder, hospitality, and guest relationship management skills.
  • Strong attention to detail, problem-solving, decision-making, and ability to manage competing priorities.
  • High level of professionalism, confidentiality, discretion, communication, and personal presentation.
