Who we are looking for

ASCO has a new and exciting opportunity for an International Membership Coordinator to join our membership team!

The International Membership Coordinator will manage virtual meetings across multiple time zones, support volunteer and governance activities, prepare membership and demographic reports, assist with financial processes, and collaborate across departments—all while helping advance ASCO’s global membership and oncology initiatives.

We are looking for a tech-savvy professional with experience in administrative operations, program support, data coordination, or member relations. If you are a self-starter who thrives in driving operational excellence, we would love to hear from you!

This position is hybrid with a primary location at our headquarters in Alexandria, VA. The hire must reside within 75 miles of our headquarters and be available to work onsite as business needs require. We anticipate the hire to be onsite approximately 2 days per week (Tuesday plus one additional day).

Responsibilities

  • Global Meeting Operations & Technical Coordination: Manage complex scheduling and virtual meeting operations across multiple time zones, applying strong technical troubleshooting skills (e.g., Zoom proficiency) and cultural awareness to ensure seamless, professional experiences for international stakeholders.
  • Data Analysis & Strategic Reporting: Utilize strong data management and analytical abilities to extract and organize data from internal systems, collaborating directly with the Program Administrator and Director to deliver critical demographic and membership reports that drive global recruitment and retention strategies.
  • Cross-Departmental Financial Accountability: Partner closely with the Finance department to support payment processing, reconcile invoices, and maintain accurate, compliant financial records for the Regional Council team.
  • Governance Administration & Volunteer Collaboration: Execute critical administrative duties—such as compiling accurate meeting minutes and coordinating committee chair elections—while working collectively with the volunteer management team to maintain and share up-to-date volunteer rosters.
  • Logistical Flexibility & Inter-Departmental Support: Demonstrate adaptability and a team-first mindset by providing reliable backup logistical support for the Member Services Department, managing the packing and receiving of shipments to and from ASCO Headquarters to ensure continuous departmental efficiency. Travel to support member recruitment and retention efforts at domestic oncology meetings.

Required Education and Experience

  • Bachelor’s Degree in business, international affairs, marketing and communications, or similar.
  • 2 years of professional experience in administrative operations, program support, data coordination, or customer/member relations.
  • Demonstrated global awareness and cultural sensitivity, with strong interpersonal and communication skills.
  • Hands-on experience with virtual meeting platforms (e.g., Zoom), including scheduling across international time zones and basic technical troubleshooting.
  • Proficiency working with Microsoft suite products.

Preferred Education and Experience

  • Prior experience working in a non-profit, professional association, or membership-driven organization (especially within an international scope).
  • Familiarity with volunteer management, committee governance, or supporting advisory councils.

Competencies

  • High attention to detail with the ability to handle multiple tasks, track committee action items, assist with election workflows, and compile accurate meeting summaries.
  • Strong technical aptitude with the ability to quickly adapt to and utilize new software, database systems, and administrative technology tools.
  • Strong communication skills, including written, with the ability to build professional rapport and adapt messaging appropriately when interacting with diverse international audiences and internal stakeholders.
  • Cultural sensitivity and respect for global perspectives, with an ability to engage thoughtfully with volunteers and members from varied cultural backgrounds.
  • Effective time management and prioritization skills to manage a high volume of routine tasks independently and meet established deadlines in a fast-paced environment.
  • A strong customer service orientation focused on proactively supporting member needs, responding to inquiries, and delivering reliable operational follow-through.

Work Environment

Hybrid work location. Fast-paced office environment.

ADA/Physical Requirements

  • Must lift up to 25 lbs
  • Extended periods seated or standing at a desk.
  • High use of computer and other office technology equipment.

Travel

6-10 days/yr

Compensation

This is a non-exempt position based upon 37.5 hours per week. The hourly rate range for this position is $29.79-$39.18.

The range displayed reflects the minimum and maximum annualized salary ASCO expects to provide for a new hire for the position across the U.S. We thoughtfully determine and design offers based on the selected candidate’s relevant experience and qualifications.
