Location: Please be advised that this position is based at our Singapore Branch Office, located in the Marina Bay Financial Centre.

Compensation Details

  • Salaries typically range from $SGD 49,725 - $SGD 66,300 annually, based on qualifications and experiences, plus a performance-based incentive.

Eligibility

  • The successful candidate must be able to work legally in Singapore at the time of application (Singapore Citizens or Permanent Residents). Candidates must meet the requisite government security screening requirements.

Team Overview

The FinDev Canada branch in Singapore, is looking for a highly motivated regional coordinator who will support the day-to-day operation of FinDev Canada’s Singapore Branch as well as FinDev Canada’s activities in the Asia Pacific region. The successful candidate will be working from FinDev Canada’s Singapore office [and may be expected to attend some training at head office in Montreal, Quebec – Canada].

The position involves using business software applications to prepare various documents, assist in arranging business travel and meetings, and track expenses. The role also includes identifying and enhancing office workflows, conducting corporate research for market engagement and business development, participating in team meetings, maintaining records and filing, and managing the company's Singapore Corporate Pass and related services.

What You Will Be Doing

  • Provide administrative services: Handle correspondence, prepare expenses, manage purchase orders, coordinate agendas, track time and attendance, manage workflows, route information, prepare documents, and arrange logistics.
  • Coordinate operational tasks: Ensure timely, effective, and efficient coordination of all operational and administrative tasks associated with the Singapore Branch.
  • Act as communication point: Serve as the point person for communication and coordination with Export Development Canada within the Singapore Branch and region.
  • Manage file and document services: Provide file, document, or information storage and retrieval services, including classification, organization, and electronic data entry or sourcing.
  • Build relationships: Help build and maintain effective relationships with regional partners, including the High Commission of Canada to Singapore.
  • Solve administrative problems: Initiate improvements to administrative standards, controls, and processes.
  • Coordinate transportation and security: Ensure timely, safe, and efficient transportation, security, and related services during visits by FinDev Canada Executives and/or Board of Directors.
  • Prepare presentation materials: Assist in preparing presentation materials using PowerPoint, Excel, and Word.
  • Arrange travel: Assist in making travel arrangements, including visa applications.
  • Take meeting minutes: Take minutes of meetings and maintain meeting records.
  • Manage day-to-day operations: Oversee the day-to-day operation of the FinDev Canada Singapore Branch and act as the point of contact for various functions at FinDev Canada HQ.
  • Organize events: Plan and execute FinDev Canada’s events, including townhalls, webinars, team-building initiatives, and receptions (both virtual and in-person).
  • Support strategic engagement: Assist in Asia strategic engagement and business development initiatives, as well as relationship management activities.
  • Business Continuity Plan: Act as the key contact person for the Business Continuity Plan of the FinDev Canada Singapore office.
  • Other duties: Perform other duties as assigned by the Director & Chief Representative, Indo-Pacific.
  • From time to time, the Regional Coordinator may be asked to support operations and projects across multiple locations, including South Africa.

What We Are Looking For

  • Minimum 5 years of administrative / clerical experience, strong customer relations skills
  • College or post-secondary training/degree in administration.
  • Excellent communication skills both oral and written in English are required.
  • Proficiencies in word processing, spreadsheet, presentation applications and online research tools.

  • Proficiency in a second language such as Bahasa or other Southeast Asian languages will be an added advantage.
