Responsibilities

The Payroll and HR Administrative Assistant provides day-to-day support to the Payroll Supervisor by assisting with payroll processing and serving as a trained backup for the payroll function, while also carrying out a range of administrative programs on behalf of the Human Resources department, including invoice payment processing, service awards, the educational assistance (tuition reimbursement) program, and the employee referral program. This role requires accuracy, discretion with confidential information, and the ability to move between payroll deadlines and HR administrative work as needs arise.

What You’ll Do

Payroll Suppport (60%)

  • Assist the Payroll Supervisor with preparing weekly and bi-weekly payrolls for MFA and its subsidiaries, including tracking and verifying timecards and time-off approvals
  • Serve as trained backup for payroll processing, able to step in and complete a full payroll run when the Payroll Supervisor is unavailable
  • Assist employees with accessing payroll records, understanding their pay information, and updating tax withholding or direct deposit details in the payroll provider's system
  • Assist with forwarding garnishment and child support orders to the payroll provider and tracking related deductions
  • Provide W-2 and paycheck copies for employees as requested
  • Assist with employment and payroll verification requests from employees, managers, or outside agencies
  • Help research and resolve payroll discrepancies, escalating as needed to the Payroll Supervisor

HR Administrative Programs (20%)

  • Process invoice payments for the Human Resources department
  • Administer the service award program, including reporting, recognition, and distribution of awards
  • Manage the educational assistance / tuition reimbursement program, including application review, tracking, and processing of reimbursements
  • Manage the employee referral program, including tracking referrals and processing referral bonus payments

General Support (20%)

  • Maintain accurate, confidential records related to payroll and the HR administrative programs above
  • Respond to routine employee questions regarding payroll and the programs administered by this role, escalating as appropriate
  • Support the HR team with special projects and reporting as requested
  • All other duties as assigned

Qualifications

  • Associate’s or Bachelor’s degree in Accounting, Human Resources, Business, or a related field, or equivalent relevant experience.
  • Workday.com experience highly preferred, along with proficiency in Microsoft Office products and the ability to learn and utilize MFA systems and technologies.
  • Experience in payroll, HR administration, or a related administrative role preferred, including basic knowledge of payroll processes, government filings, regulations, and tax requirements; general knowledge of employment law preferred.
  • Strong written and verbal communication, interpersonal, organizational, time-management, and attention-to-detail skills, with the ability to maintain confidentiality and professional working relationships.
  • Self-motivated, organized, and results-oriented, with the ability to work independently, demonstrate sound and timely decision-making, take initiative, and collaborate effectively with team members.
  • Ability and willingness to represent and uphold MFA’s mission, vision, values, and culture while adhering to all safety, compliance, and procedural requirements.
