About The Role

Cozen O’Connor is seeking an experienced Legal Assistant with litigation experience to join the Attorney Resource Center (ARC). ARC is a centralized team of skilled administrative professionals that provides responsive, high-quality support to attorneys across practice groups and client matters.
The ARC Legal Assistant is responsible for managing a varied workflow of legal and administrative assignments with accuracy, efficiency, sound judgment, and a strong commitment to service. While the role operates within a collaborative team environment, the Legal Assistant is also expected to build trusted working relationships with attorneys, understand their practice needs and preferences, communicate proactively, and take ownership of assignments from receipt through completion.

Prepare, revise, format, proofread, and transcribe legal correspondence, pleadings, memoranda, reports, forms, and other documents via the BigHand workflow tool or other source material.

Prepare and manage documents for electronic filing, including confirming applicable court requirements and supporting the retrieval and filing of accepted or file-stamped copies.

Enter critical dates and deadlines accurately into the Firm’s electronic docketing system in accordance with established procedures.

Prepare new client and new matter documentation, engagement letters, invoices, check requests, expense reports, and other matter-administration materials at the direction of attorneys or paralegals.

Schedule and coordinate depositions, mediations, meetings, conferences, and related logistics, including communications, materials, vendors, and follow-up.

Coordinate travel arrangements, including transportation, automobile rentals, and hotel reservations.

Maintain electronic and paper client and office files, including saving and organizing emails and documents in the Firm’s document management system.

Communicate professionally with attorneys, clients, colleagues, courts, and third-party vendors by telephone and email.

Perform accurate data entry, including client biographical or corporate information, attorney time, and other information required in Firm systems.

Provide document production and administrative support, including copying, printing, scanning, mailing, assembling, and merging documents.

Review all work for completeness, accuracy, formatting, context, and compliance with instructions before delivery.

Manage multiple assignments and competing deadlines, communicate status and capacity promptly, and escalate questions or risks when appropriate.

Support colleagues, share relevant information, and contribute to balanced workflow and consistent service across the centralized team.

Perform other duties as assigned based on attorney, client, team, and business needs.

Outstanding written and verbal communication skills, with the ability to interact professionally with attorneys, clients, staff, courts, and vendors.

Advanced proficiency in Microsoft Word and Outlook, together with strong general computer and document-processing skills.

Demonstrated ability to prepare, edit, format, and proofread legal documents with exceptional attention to detail.

Experience with electronic document management systems; iManage experience is preferred.

Technical legal writing and professional memorandum and letter preparation skills.

Knowledge of New York, surrounding jurisdictions, and Federal Court Rules and electronic filing requirements, together with a willingness to develop knowledge of additional jurisdictions.

Strong organizational, prioritization, resourcefulness, and problem-solving skills.

Ability to manage multiple tasks and projects in a fast-paced environment while meeting deadlines and maintaining accuracy.

Ability to work independently, use sound judgment, and seek clarification or assistance when needed.

Ability to work overtime as business needs require.

Five to ten years of legal or related experience is preferred, including litigation support experience.

High school diploma or equivalent experience is required; a college degree is preferred.
The salary range for this role is $90,000 - $105,000 and represents the Firm's good faith and reasonable estimate of the range of possible compensation at the time of posting. Actual compensation will be dependent upon a number of factors, including but not limited to, the candidate's relevant experience, qualifications and location.
